The Human Resources Manager will manage the firm's day-to-day human resources functions, including employee onboarding and offboarding, personnel records, payroll coordination, benefits administration, employment policies, handbook administration, compliance, employee relations, and coordination with accounting, information technology and office operations.
The ideal candidate will have 5–7 years of progressive human resources experience, preferably in a law firm or other professional-services environment, and must be comfortable functioning as the firm's primary day-to-day HR professional.
This position requires someone who is both strategic and hands-on—a person who can help leadership address larger HR issues while also ensuring that routine HR processes are completed accurately, efficiently and on time.
Essential
Coordinate administration of the firm's employee benefit programs.
Assist employees with benefit-related questions and enrollment issues.
Coordinate new-hire enrollment and employee status changes with benefits providers and applicable vendors.
Work with accounting and benefits providers to ensure accurate deductions and records.
Assist with annual benefits enrollment and communications.
Employee Handbook and HR PoliciesMaintain, administer and periodically review the firm's Employee Handbook and other HR policies.
Identify areas where policies should be updated based on changes in employment laws, regulations, firm practices or business needs.
Coordinate with outside employment counsel when appropriate regarding significant policy or compliance issues.
Assist firm leadership in developing, implementing and communicating new policies and procedures.
Ensure employees receive appropriate notice of policy changes and maintain required acknowledgments.
Multi-State HR ComplianceAdminister HR policies and practices for employees working in multiple states and jurisdictions.
Maintain awareness of applicable federal, state and local employment requirements.
Coordinate with outside employment counsel and appropriate advisors regarding multi-state employment compliance matters.
Assist the firm in maintaining appropriate employment policies, notices, forms and procedures for its various jurisdictions.
Track changes in employment requirements that may affect the firm's workforce and bring significant issues to the attention of firm leadership.
Employee RelationsServe as a trusted and confidential resource for employees and management.
Assist managers and firm leadership with employee performance, attendance, workplace conduct and other employment issues.
Assist with employee investigations and documentation when appropriate.
Help ensure employee concerns are handled professionally, consistently and confidentially.
Maintain appropriate documentation relating to employee relations matters.
Escalate significant or legally sensitive matters to firm leadership and/or outside employment counsel.
Offboarding and SeparationsManage the firm's employee separation and offboarding process.
Coordinate termination documentation, final payroll information, benefits notifications and required paperwork.
Coordinate with IT regarding removal of system access, email, equipment and other technology.
Coordinate with office operations regarding keys, building access, equipment and other firm property.
Ensure appropriate return of firm property and completion of separation documentation.
Conduct or coordinate exit interviews when appropriate.
Maintain appropriate confidentiality regarding employee departures and separation matters.
Coordination with IT and Office OperationsWork closely with IT to coordinate employee technology access, onboarding, transfers and offboarding.
Work with office operations regarding office access, badges, workspace, equipment and related employee needs.
Coordinate employee transfers between offices and changes in work arrangements.
Help establish consistent employee processes across the firm's offices and remote workforce.
Records, Reporting and HR AdministrationMaintain accurate HR records and databases.
Prepare periodic HR reports for firm leadership as requested.
Maintain organizational charts and employee directories.
Track employee anniversaries, promotions, compensation changes, leave and other personnel events.
Ensure appropriate retention and confidentiality of employee records.
Assist with audits, insurance requests, regulatory inquiries and other employment-related administrative matters.
Bachelor's degree in Human Resources, Business Administration, Organizational Management or a related field preferred.5–7 years of progressive HR experience, preferably in a law firm, legal services organization or other professional-services environment.
Strong knowledge of day-to-day HR operations.
Experience coordinating payroll with an accounting department or payroll provider.
Experience with employee onboarding and offboarding.
Experience maintaining employee personnel files and HR documentation.
Experience administering or maintaining employee handbooks and HR policies.
Strong organizational skills and exceptional attention to detail.
Excellent written and verbal communication skills.
Ability to maintain strict confidentiality.
Ability to work independently and exercise sound judgment.
Strong interpersonal skills and the ability to work effectively with attorneys, management and professional staff.
Proficiency with Microsoft Office and common HR/payroll systems.
Ability to manage multiple priorities and deadlines in a fast-paced professional environment.
Prior experience as the primary or lead HR professional for a law firm.
Experience supporting employees in multiple states.SHRM-CP, SHRM-SCP, PHR or SPHR certification.
Experience with multi-state employment compliance.
Experience working with outside employment counsel.
Experience with HRIS systems and payroll platforms.
Experience conducting employee investigations and handling employee relations matters.
Experience working with professional-services organizations.
The ideal candidate is a hands-on, highly organized and mature HR professional who can operate with a significant degree of independence.
Work LocationThis is a full-time, on-site position based in the firm's Philadelphia office but will support employees throughout the United States, including employees working remotely and employees assigned to the firm's other offices.
Anticipated base salary: $110,000–$135,000 annually, commensurate with experience and qualifications.
