Hybrid Account Project Manager
Reporting to: Executive Director
Location: Hybrid — embedded with the client team (NYC Office) approximately half of each week, with the remaining time supporting Shiraz Creative’s internal workflows
Role Description
The Account Project Manager is a hybrid, client-embedded role responsible for providing project management, administrative coordination, and organizational support across a complex, highly matrixed client organization.
Working approximately half of each week alongside a CPG brand client team and half within Shiraz Creative’s internal workflows, this individual will serve as a critical connection point between client stakeholders and Shiraz Creative’s Account, Production, and Creative teams.
The role will help maintain alignment across numerous stakeholders, priorities, workstreams, and approval processes while ensuring information moves efficiently between both organizations.
The Account Project Manager will primarily support CPG brand’s Customer Development meetings and events portfolio, including the National Commercial Experience (NCE), NACDS, and other prioritized customer meetings and larger strategic initiatives.
This role will provide administrative and organizational support to the client while helping Shiraz Creative manage timelines, deliverables, communications, approvals, and project documentation.
We’re looking for a highly organized, proactive, and collaborative project manager who is comfortable navigating complex organizations, managing multiple stakeholders, and bringing clarity and structure to fast-moving projects. The ideal candidate can anticipate needs, follow through on details, communicate professionally across all levels, and build trusted relationships with both the client and agency teams.
Key Responsibilities
Client-Embedded Account Support
- Serve as a consistent day-to-day liaison between Client stakeholders and Shiraz Creative
- Work within the client organization approximately half of each week to support meetings, communications, project coordination, and administrative needs
- Build trusted relationships across a broad network of client stakeholders, functional teams, and leadership groups
- Develop a strong understanding of the client’s organizational structure, internal processes, priorities, and approval pathways
- Help stakeholders navigate Shiraz Creative’s processes, capabilities, timelines, and required inputs
- Represent Shiraz Creative professionally while embedded with the client team, maintaining appropriate confidentiality and discretion
- Advocate for client priorities and brand requirements throughout the agency’s internal project lifecycle
- Proactively identify gaps, competing priorities, outstanding decisions, and potential risks requiring escalation
- Help ensure both organizations have clear visibility into current project status, responsibilities, deadlines, and next steps
Program & Project Management
- Provide project management support across Customer Development meetings and events, with priority focus on NCE, NACDS, key customer meetings, and larger strategic initiatives
- Manage multiple projects and workstreams simultaneously, ensuring priorities are appropriately sequenced and resourced
- Build, maintain, and communicate project timelines, workback schedules, milestone trackers, and deliverable lists
- Coordinate project kickoffs, working sessions, status meetings, reviews, approvals, and post-program follow-ups
- Track project dependencies, client inputs, feedback, decisions, and outstanding action items
- Maintain clear ownership across client and agency stakeholders and follow up to ensure deadlines are met
- Support the movement of projects through strategy, creative development, design, production, execution, and reconciliation
- Anticipate challenges early and work with the appropriate teams to develop practical solutions
- Escalate risks, delays, scope changes, or conflicting priorities to Account and Production leadership as needed
Administrative & Organizational Support
- Schedule and coordinate meetings across a complex group of client and agency stakeholders
- Develop agendas, capture detailed meeting notes, distribute recaps, and track follow-up actions
- Maintain organized project files, contact lists, calendars, trackers, approvals, and shared documentation
- Consolidate information from multiple stakeholders into clear, actionable communications
- Help manage stakeholder review cycles, feedback collection, version control, and final approvals
- Prepare status reports, leadership updates, briefing documents, presentations, project recaps, and other client-facing materials
- Support meeting logistics, participant communications, registration information, and other administrative needs as assigned
- Help establish consistent templates and processes that improve efficiency across recurring Customer Development programs
- Ensure important project decisions and approvals are documented and accessible to the appropriate teams
Internal Agency Coordination
- Spend approximately half of each week working within Shiraz Creative’s internal workflows and collaborating with Account, Production, and Creative
- Translate client requests and organizational context into clear internal briefs, priorities, and action items
- Ensure internal teams have the information, assets, feedback, and approvals needed to maintain progress
- Participate in internal project meetings, production planning, creative reviews, and account status sessions
- Coordinate the development and delivery of proposals, scopes, presentations, budgets, schedules, and program recaps
- Maintain consistent communication between the embedded client environment and Shiraz Creative’s internal team
- Support workload visibility and help leadership identify upcoming needs, resource requirements, and priority conflicts
- Help ensure deliverables are completed on time, within scope, and at the quality expected by both Shiraz Creative and the client
EXPERIENCE / SKILLS
- 4+ years of account management, project management, event management, or client services experience
- Experience within an experiential marketing, live events, event production, or creative agency environment strongly preferred
- Demonstrated ability to manage multiple concurrent projects, stakeholders, deadlines, and approval processes
- Experience working with enterprise clients or within complex, matrixed organizations
- Strong understanding of project management fundamentals, including timelines, scopes, budgets, deliverables, dependencies, and risk tracking
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills, including the ability to synthesize complex information into clear next steps
- Ability to build trusted relationships and communicate effectively with stakeholders at varying levels of seniority
- Proactive and resourceful, with the ability to anticipate needs and identify potential issues before they affect delivery
- Comfortable operating between a client organization and an agency team while balancing the priorities of both
- Professional, diplomatic, and able to handle confidential or sensitive information with discretion
- Calm under pressure and adaptable when priorities, schedules, or project requirements change
- Comfortable supporting both high-level strategic initiatives and detailed administrative requirements
- Proficiency with Microsoft 365 and Google Workspace
- Familiarity with Monday.com, Slack, and Adobe Acrobat preferred
- Experience supporting corporate meetings, conferences, customer events, or executive programs preferred
- Ability to work consistently from the client’s office approximately half of each week
- Ability to travel as needed for site visits, installations, and live events
