Position: Procurement Manager / Assistant Procurement ManagerLocation: Nad Al Hammar, Dubai, UAEEmployment Type: Full-Time (Head Office in Dubai)
Key Responsibilities
- Direct Procurement
- Source and procure fragrance oils, alcohol, chemicals, and production raw materials.
- Manage sourcing of packaging materials including bottles, caps, pumps, labels, cartons, gift boxes, and display packaging.
- Develop and maintain relationships with local and international suppliers.
- Negotiate pricing, payment terms, contracts, and delivery schedules.
- Identify alternative suppliers and implement cost-saving initiatives.
- Supply Chain & Planning
- Prepare procurement plans based on sales forecasts, production schedules, and retail replenishment requirements.
- Monitor inventory levels and maintain optimal stock to avoid shortages or excess inventory.
- Coordinate closely with Production, Warehouse, Sales, Retail Operations, R&D, and Finance teams.
- Import & Export Logistics
- Manage international shipments from purchase order to final delivery.
- Coordinate with freight forwarders, shipping lines, airlines, and customs brokers.
- Handle import/export documentation including commercial invoices, packing lists, Bills of Lading, Air Waybills, Certificates of Origin, and customs clearance requirements.
- Optimize freight costs and ensure timely deliveries.
- Indirect Procurement
- Manage procurement for:
- Office stationery and general office supplies
- IT equipment, POS systems, and accessories
- Warehouse and facility consumables
- Maintenance and service contracts
- Retail operational supplies
- Corporate gifts and promotional merchandise
- Marketing & Visual Merchandising Support
- Support the Marketing and Retail teams by sourcing:
- Visual Merchandising (VM) materials
- POS displays and window displays
- Exhibition and event booths
- Promotional items and giveaways
- Shopping bags, gift boxes, and packaging
- Marketing collateral and branded materials
- Ensure timely procurement for:
- Product launches
- Retail campaigns
- Brand activations
- Trade exhibitions
- Corporate events
- Supplier & Contract Management
- Evaluate supplier performance based on quality, cost, delivery, and service.
- Maintain supplier contracts and procurement records.
- Conduct periodic supplier reviews and identify opportunities for improvement.
- Cost & Compliance
- Drive procurement cost savings without compromising quality.
- Ensure compliance with company procurement policies and approval processes.
- Support inventory audits and procurement reporting.
Requirements
- Bachelor's degree in Supply Chain Management, Business Administration, Logistics, or a related field.
- Minimum 7 years of relevant procurement experience, with at least 3 years in a managerial role handling a team Experience in perfume, cosmetics, personal care, manufacturing is highly preferred.
- Proven experience in sourcing fragrance oils, packaging materials, and managing import/export logistics.
- Hands-on experience in demand planning and inventory management.
- Experience handling indirect procurement, including office, IT, and marketing purchases.
- Strong negotiation, analytical, and supplier management skills.
- Proficiency in ERP systems (SAP, Oracle, Microsoft Dynamics, Odoo, or similar) and advanced Microsoft Excel.
Preferred Skills
- Knowledge of international sourcing and Incoterms.
- Experience managing freight and customs clearance.
- Ability to work in a fast-paced, multi-site retail and manufacturing environment.
- Excellent communication, planning, and problem-solving skills.
- Strong commercial acumen with a focus on continuous improvement and cost optimization.
