Executive Assistant - Greek Speaking

We are seeking a skilled Executive Assistant to provide exceptional support to both the owner and the Managing Director. This diverse role will encompass high-level administrative tasks, effective communication, and coordination duties within a flourishing international business environment.

To succeed in this role, it is vital that you are fluent in both written and spoken English and Greek.

As the crucial link between the London office and the owner's presence in Greece, you will play an essential role in facilitating seamless communication. This is a newly established position within a company with a strong reputation for staff retention.

The role is based in the London office located in Leyton, allowing for a hybrid work setup. You will have the flexibility of remote work; however, your presence in the office will be required when the owner is in London.

Responsibilities include

• Providing daily executive-level administrative support to the owner and Managing Director.
• Managing complex diaries across various time zones.
• Overseeing inboxes, prioritizing, and responding to communications on behalf of the executives.
• Coordinating international and domestic travel arrangements.
• Acting as the primary liaison between the owner and the London-based teams.
• Ensuring effective and timely communications in both English and Greek.
• Preparing and editing correspondence, reports, and presentations involving sensitive information.
• Assisting in organizing board meetings, supplier meetings, and internal strategy sessions.
• Supporting with personal administrative tasks for the owner while maintaining discretion.
• Maintaining office systems and enhancing administrative processes.
• Occasionally accompanying the Owner or Managing Director to meetings or events within the UK and Europe as required.

We are looking for an Executive Assistant with the following qualifications:

• Proven experience supporting senior leadership as an Executive or Personal Assistant, ideally in a fast-paced or international setting.
• A strong academic background is preferred.
• Fluency in both Greek and English (spoken and written) is essential.
• Fluency in Dutch would be advantageous.
• Highly organized with an ability to multitask and strong attention to detail.
• Proficiency in Microsoft Office Suite and digital communication/project management tools.
• Excellent interpersonal and communication skills.
• A confident, proactive, and professional demeanor.
• Strong problem-solving skills, with a knack for anticipating needs and working independently.
• Experience or interest in the food distribution or FMCG sector would be a plus.
• Willingness to travel and adjust communication according to UK/Greece time zones.
