About The Role

The Executive Assistant serves as the primary operational partner to key executive leaders at a fast-growing, high-growth technology company in Seattle. This role requires managing a high-volume flow of communication, scheduling, and strategic priorities, ensuring leaders can maximize their impact across global teams.

This position demands high-context processing, strong anticipation of business needs, and the ability to execute flawless logistics in a hybrid work environment. Success in this role means transforming chaotic, fast-moving schedules into streamlined daily operations through rigorous organization.

Key Responsibilities

• Manage complex calendars, high-volume meeting schedules, and multi-destination travel logistics across multiple international time zones.
• Draft, review, and organize confidential communications, executive briefings, and deck presentations using Google Workspace and Slack.
• Coordinate cross-functional leadership meetings, drive agenda creation, take rigorous minutes, and track post-meeting action items to completion.
• Plan and execute end-to-end logistics for executive offsites, department all-hands, and team-building events including venue, catering, and AV setups.
• Process expense reports, manage procurement requests, and coordinate administrative budgets using tools like Concur and Workday.
• Interface directly with external board members, high-value clients, and vendor teams on behalf of the executive office.

What We Are Looking For

4+ years of experience as an Executive Assistant, Office Manager, or Project Coordinator supporting VP or C-level executives in a fast-paced technology environment.

Expert-level proficiency with Google Workspace (Docs, Sheets, Slides, Calendar) and corporate communication tools like Slack and Zoom.

Proven track record of maintaining strict confidentiality and exercising flawless judgment with sensitive business data.

Excellent written and verbal communication skills with the ability to summarize complex decisions and action items clearly.

Strong project-management and problem-solving skills, with a demonstrated ability to multitask under tight deadlines.

Bonus: Experience coordinating hybrid-work office logistics or familiarity with project management software like Asana, Jira, or Notion.
