Accounts Payable Processor

• Prepares invoices for payments, including verification of proper approval, vendor, G/L account number, etc.
• Enter invoices in accounting software, process checks and Electronic Fund Transfers (EFT); sets up and processes EFT’s
• Processes all Accounts Payable from Policy Management System:

Verifies batches from all departments

Prints and posts checks from all departments

Processes all checks including Claims, Withdrawals, Dividends, and Commissions

Delivers completed checks to Home Office departments for signatures then distribution

Prepares expense analyses as requested

• Creates spreadsheets for standard payments:

Deferred compensation

Branch fees

Branch Coordinator fees

• Corresponds with outstanding check recipients and re-issues as necessary. Tracks same for unclaimed property reporting
• Balances Accounts Payable (A/P), verifies General Ledger (G/L) account number and selects name on all check requests and Accounts Payable vouchers from all departments
• Balances Accounts Payable to General Ledger (G/L) daily
• Enters Journal Entries into Accounting Software
• Creates and maintains Accounts Payable files
• Voids checks and processes credit memos
• Prepares and balances Accounts Payable reports: monthly / quarterly / annually
• Prepares specialized reports as needed:

Prepares data for 990 Tax Filing

Files 990-N Postcards for Branches and William Penn Association Foundation, Inc, with IRS

Prepares and files 945 tax withholding with IRS Semi-Weekly

• Sends daily Accounts Payable report to Corporate Officers
• Proofreads all Annual Statement and Quarterly Statement pages
• Assists in work directed by Corporate Officers
• Performs other related duties as assigned by the Chief Financial Officer or President/CEO
• Serves as backup to Premium Processor (AR). Serves as backup for Investment Accountant morning reports
• Prepares deposits for automated Citizens On-Line Checking (check scanning)
• Balances Suspense Account and Capitalized assets monthly
• Prepares journal entries for Accrual Expense Reports quarterly
• Prepares Depreciation Journal entries
• Prepares Capitalized information for Industrial Appraisal Report annually
• Serves as the Accountant for the William Penn Fraternal Association Scholarship Foundation (WPFASF)
• Abides by the rules and regulations of the William Penn Association
• Attends William Penn Association and related functions as directed or as necessary
• Performs other activities and duties normally associated with this position
