Accounts Payable Accountant

Our client is seeking a detail-oriented Accounts Payable Accountant to join their team. This role is responsible for managing the full accounts payable process, vendor compliance, project cost tracking, and financial administration support.

The ideal candidate will have strong organizational skills, experience working in a fast-paced environment, and the ability to manage multiple priorities while ensuring accuracy and compliance.

Key Responsibilities

Accounts Payable & Vendor Management

• Process vendor invoices, route approvals, enter data into Acumatica, and resolve invoice discrepancies.
• Ensure timely processing and payment of invoices, with a focus on prioritizing recurring obligations such as utility bills.
• Manage bi-weekly check runs, including invoice review, payment preparation, and supporting documentation.
• Set up and maintain vendor accounts, ensuring all records are accurate and up to date.
• Manage vendor compliance documentation, including insurance certificates, W-9s, and other required records.
• Verify subcontractor insurance coverage and compliance requirements prior to payment processing.

Project Financial Tracking

• Maintain project cost codes and assist with budget updates within Acumatica.
• Track and monitor project-related financial information to support accurate cost reporting.
• Partner with project managers and operational teams to ensure costs are properly allocated and recorded.

Tax & Compliance

• Prepare and process quarterly Sales & Use Tax filings and payments.
• Maintain accurate tax records and ensure compliance with applicable regulations.
• Support audits and provide documentation as needed.

Additional Responsibilities

• Assist with financial reporting and account reconciliations.
• Identify opportunities to improve AP processes and internal controls.
• Support the accounting team with special projects and other duties as assigned.

Qualifications

• Associate's or bachelor's degree in accounting, Finance, or related field preferred.
• 3+ years of accounts payable or accounting experience, preferably within the construction industry.
• Experience working with ERP systems
• Knowledge of construction accounting concepts, including job costing and subcontractor compliance.
• Understanding of Sales & Use Tax requirements.
• Strong attention to detail, organizational skills, and ability to meet deadlines.
• Proficiency with Microsoft Excel and other Microsoft Office applications.
• Excellent communication and problem-solving skills.
