Accounts Assistant

This is an incredibly exciting opportunity to join our finance team and take full ownership of our core ledger processes. You will manage the end-to-end Accounts Payable function, which includes supporting the purchase-order-to-pay process in NetSuite, processing supplier invoices, resolving complex queries, and overseeing the weekly payment run.

Additionally, you will look after our lightweight Accounts Receivable duties, handle bank and treasury administration (like daily balance reporting), reconcile company credit cards, and assist with employee expense claims.

Beyond day-to-day transactional management, you will act as a vital cross-functional collaborator and a driving force for efficiency. Partnering closely with the wider finance team on month-end close and audit tasks, provide commentary on monthly cash flow movements, and work with our Customer Service team to monitor refunds and chargebacks.

We are looking for someone who is not just content with maintaining the status quo, but who will autonomously explore ways to improve processes, bring efficiencies to our workflows, and provide stellar administrative support across the business.

Job Requirements

• Previous experience in an AP role
• Comfortable having conversations with colleagues at all levels in the business
• Proficiency using Microsoft Excel
• Experience using Netsuite helpful, but not required
• Energy and ambition to make a difference to a business going through an exciting period of change and growth
• Experience in an e-commerce business with stock related invoices is beneficial but not essential
• Adaptable and flexible in a fast-paced, agile, scale-up environment
• The stated experience and background is a guide and does not preclude applications from candidates with more or less experience, provided the requisite skills can be demonstrated.

Job Responsibilities

• Managing the end to end Accounts Payable function at Beauty Pie to include:
• Supporting smooth purchase order to pay process; ensuring timely approval of POs, supporting staff on Netsuite (our ERP system)
• Processing inbound supplier invoices and managing the invoices inbox
• Resolving any complex invoice processing issues
• Communicating with suppliers regarding invoice & payment queries
• Overseeing the weekly payment run
• Working with all teams around the business in relation to all of the above
• Managing the Accounts Receivable function to include;
• Raising ad-hoc invoices and chasing payment (due to the nature of our business, this is minimal)
• Reconciling cash receipts from our e-commerce payment processor, and ensuring we have received all amounts due
• Calculating and posting fees deducted from our payment providers
• Liaising with our Customer Service team to assist in capturing refunds and chargebacks and monitoring.
• Setting up new suppliers in NetSuiteReconciliation of the company credit cards
• Assisting with processing of employee expense claims and becoming an expert in our software.
• Support banking and treasury administration such as daily bank balance reporting and interest receipts
• Assisting the Finance team with AP and AR related month end and audit tasks
• Preparation of commentary on cash flow movements in the month Providing administrative support and performing ad-hoc tasks for the wider Finance Team
