The Project Manager is responsible for planning, coordinating, executing, and monitoring cross-functional projects that support beMatrix USA's strategic, operational, information technology, manufacturing, and business objectives.
This role partners with department leaders, business stakeholders, external vendors, and project teams to ensure projects are delivered on time, within scope, and within budget while maintaining high levels of communication, accountability, and organizational alignment.
The Project Manager provides leadership throughout the project lifecycle by coordinating resources, managing risks, facilitating communication, and driving successful implementation of projects ranging from technology initiatives to operational improvements and facility-related projects.
Essential Duties And Responsibilities

- Project Planning and Coordination Develop and maintain comprehensive project plans, timelines, milestones, deliverables, and resource requirements.
- Coordinate project activities across multiple departments, vendors, consultants, and business stakeholders.
- Ensure project tasks remain on schedule and communicate adjustments as necessary.
- Facilitate project kickoff meetings and establish project governance.
- Scope and Timeline Management Define project objectives, scope, deliverables, and success criteria.
- Manage changes in project scope and evaluate impacts on schedule, budget, and resources.
- Monitor project progress against established milestones.
- Escalate schedule risks and resource constraints when appropriate.
- Stakeholder Communication Provide regular project updates to leadership and stakeholders.
- Facilitate project meetings and document key decisions.
- Maintain clear communication regarding project status, risks, milestones, and deliverables.
- Promote alignment among departments throughout the project lifecycle.
- Risk, Issue, and Dependency Management Identify project risks, issues, dependencies, and potential roadblocks.
- Develop mitigation strategies and contingency plans.
- Track open issues through resolution.
- Escalate significant risks to leadership when appropriate.
- Resource and Workload Coordination Work with department leaders to understand resource availability and competing priorities.
- Coordinate internal and external resources to support project execution.
- Assist leadership in balancing project workloads across the organization.
- Identify resource conflicts that could impact project success.
- Documentation and Follow-Through Maintain project documentation, schedules, meeting minutes, action-item logs, status reports, and project files.
- Monitor assigned action items and follow up with responsible parties.
- Ensure project documentation remains current throughout the project lifecycle.
- Maintain project records in accordance with company standards.
- Implementation and Project Closeout Coordinate testing, user acceptance testing (UAT), training, implementation, and go-live activities.
- Support transition of completed projects into normal business operations.
- Conduct post-project reviews and lessons learned sessions.
- Ensure project deliverables are accepted and formally closed.
- Budget and Vendor Management Assist in developing and monitoring project budgets.
- Track project expenditures and identify potential budget variances.
- Coordinate activities with consultants, contractors, and third-party vendors.
- Monitor vendor performance against project objectives and deliverables.
- Change Management Support organizational change initiatives associated with project implementations.
- Coordinate communication and training activities to promote successful adoption.
- Work with business leaders to minimize disruption during project implementation.
- Gather stakeholder feedback and recommend continuous improvements.
- Continuous Improvement Recommend improvements to project management processes, tools, and methodologies.
- Identify opportunities to improve operational efficiency through better project execution.
- Develop and maintain project templates, standards, and best practices.
- Support continuous improvement initiatives across Finance, IT, Operations, Manufacturing, and other business functions.
Qualifications
- Education Bachelor's degree in Business Administration, Project Management, Information Systems, Operations Management, Engineering, Finance, or related field.
- Experience Minimum 5 years of project management experience.
- Experience leading multiple concurrent cross-functional projects.
- Manufacturing, distribution, ERP, construction, logistics, or operational experience preferred.
- PMP certification preferred but not required.
Technical Skills
- Strong proficiency with Microsoft Office Suite.
- Experience using project management software such as Microsoft Project, Asana, Monday.com, Smartsheet, or similar platforms.
- Experience working with ERP systems is preferred.
- Ability to develop dashboards, project reports, and executive presentations.

WORK ENVIRONMENT
This position works closely with Finance, IT, Operations, Manufacturing, Sales, Purchasing, Warehouse, and external business partners. This role requires frequent collaboration across departments and occasional travel to support company projects, vendor meetings, or implementation activities.
