Urban Planning Coordinator / Production Lead

Job Purpose

Support the Project Development Team during all stages by assisting in analysis, documentation, coordination and presentation tasks. The Lead- Production works under guidance to contribute to project deliverables, support alignment with strategic and regulatory requirements, and assist in compiling, validating and coordinating materials for internal and external presentations and approvals.

Key Activities, Responsibilities, and Accountabilities (main accountabilities, not an exhaustive list of tasks):

Project Development

Support the development and refinement of the project through all stages, contributing to alignment with organizational vision, masterplan, and market insights.

Technical Studies Oversight

Contributes to the preparation and review of reports and documents. Support on creating presentations across Project Development teams.

Technical Studies Oversight

Contributes to the preparation and review of technical studies, including site analysis and environmental considerations.

Stakeholder Coordination

Support coordination across planning, design, finance, legal, procurement, and external consultants to ensure alignment of project development inputs and deliverables.

Project Definition and Scoping

Assist in defining project scope, objectives, and KPIs; support documentation to ensure clarity and readiness for handover to delivery teams.

Procurement Preparation

Assist in preparing RFPs, TORs, and evaluation materials for consultants, designers, and advisors involved in the development phase.

Governance and Approvals

Support the preparation of development-stage documentation and presentations for internal governance processes, including steering committees and approvals.

Transition to Delivery

Assist in ensuring proper documentation and knowledge transfer to delivery teams, including maintaining records such as risk registers, schedules, and design documentation.

Team Leadership and Mentoring

Work collaboratively within the project development team, supporting senior team members and contributing to maintaining quality and timely delivery of outputs.

Job Requirements

Academic Qualifications

• Bachelor’s degree in architecture, Urban Planning, Planning, Project Management, or related discipline.

Experience

• 0–3 years of experience in project development, feasibility, engineering, or related fields (internships/co-op experience is a plus).

Language Proficiency

• English: Proficient
• Arabic: Proficient

Technical Competencies

• Project Development Management: Basic understanding of project development stages from concept initiation
• Project Development Management: Strong presentations skills and knowledge of reporting and documentation.
• Regulatory and Permitting: Basic awareness of local authority processes, zoning regulations, and approval requirements.
• Assist in supporting project development activities across all stages and support the preparation of project documentation, including briefs, concept summaries, and development reports and presentations.
• Assist in preparing and compiling presentation materials and supporting documents for senior management, including ExCom and Board of Directors (BoD) reviews.
• Coordinate with internal teams and external consultants to gather input and follow up on deliverables.
• Support coordination across disciplines (planning, design, delivery, finance) to ensure integrated output.
• Track project progress, milestones, and key action items; follow up on pending activities.
• Maintain organized project documentation, including trackers, logs, and records of key decisions.
• Support communication and circulation of project updates and information across internal stakeholders.
