Administrative Assistant (Bilingual – Arabic & English)

Job Summary

The Administrative Assistant provides comprehensive administrative and clerical support to ensure the efficient operation of the office. The role requires excellent organizational, communication, and multitasking skills, with fluency in both Arabic and English to effectively support internal departments, management, clients, and external stakeholders.

Key Responsibilities

• Provide administrative and secretarial support to management and various departments.
• Prepare, draft, translate, and proofread correspondence, reports, presentations, and other business documents in both Arabic and English.
• Answer and direct telephone calls, emails, and visitor inquiries professionally.
• Schedule appointments, meetings, and conference room bookings.
• Coordinate meetings, prepare agendas, record minutes, and follow up on action items.
• Maintain filing systems, records, and confidential documents in both electronic and physical formats.
• Coordinate office supplies, stationery, and administrative requirements.
• Assist in travel arrangements, including flight bookings, hotel reservations, and transportation when required.
• Liaise with government entities, suppliers, clients, and service providers as needed.
• Support document processing, permit applications, and official correspondence when required.
• Assist in organizing company events, meetings, and employee activities.
• Ensure office areas are organized and administrative procedures are followed.
• Perform other administrative duties assigned by management.

• Experience using office equipment and document management systems.
• Familiarity with ERP systems is an advantage.
