Admin & Marketing Coordinator

Job Summary

We are seeking a proactive, organized, and detail-oriented Admin & Marketing Coordinator to oversee daily office operations, provide administrative support to the sales team, and coordinate marketing initiatives and events. This role requires excellent communication, multitasking, and organizational skills, along with the ability to collaborate effectively across departments.

Knowledge of basic accounting principles will be an added advantage, as the successful candidate will also provide support to the Finance Controller when required.

Key Responsibilities

Office Administration & Coordination

• Oversee daily office activities and ensure smooth workflow.
• Act as the central point of communication between teams and management.
• Handle scheduling, documentation, and administrative support.

Marketing Coordination

• Plan, organize, and coordinate company exhibitions, trade shows, seminars, and marketing events.
• Liaise with vendors, suppliers, partners, and internal stakeholders to ensure successful event execution.
• Assist in the development and implementation of marketing campaigns and promotional activities.
• Coordinate the preparation and distribution of marketing materials, brochures, and promotional merchandise.
• Support digital and offline marketing initiatives as assigned.

Sales Support

• Provide administrative and operational support to the sales team.
• Coordinate customer meetings, presentations, quotations, and follow-up activities.
• Maintain customer records and sales-related documentation.
• Track sales support activities and prepare periodic reports for management.
• Assist in coordinating customer communications and ensuring timely responses.

Accounts Support

• Assist the Finance Controller with routine accounting and administrative tasks.
• Support invoice processing, expense tracking, and documentation.
• Maintain financial records and assist with filing and reconciliation activities.
• Coordinate with internal departments to ensure timely submission of financial documents.

Required Skills & Qualifications

• Bachelor's degree in Business Administration, Marketing, Commerce, or a related discipline.
• 3–4 years of experience in office administration, marketing coordination, sales support, or a similar role.
• Experience in event coordination and administrative management is preferred.
• Exposure to basic accounting or finance functions will be an advantage.
• Excellent verbal and written communication skills.
• Ability to manage multiple tasks and prioritize effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong interpersonal skills with a collaborative and customer-focused approach.
• Basic knowledge of accounting software or ERP systems is an added advantage.
