Personal Assistant & Home Manager

Job Summary

We are seeking a highly organized, proactive, and compassionate Personal Assistant & Home Manager to support the daily operations of a private residence and provide personalized assistance to an individual and his family. This role combines executive-level administrative support, household management, and medical coordination to ensure a smooth, organized, and comfortable daily environment.

The ideal candidate will be dependable, discreet, detail-oriented, and comfortable managing a wide range of responsibilities. You will serve as a trusted point of contact, coordinating schedules, communications, household services, appointments, and daily needs while providing hands-on support with professionalism and care.

Duties

• Provide personalized administrative support, including calendar management, appointment scheduling, email correspondence, phone communication, and document organization.
• Manage and organize personal and professional communications, acting as a trusted gatekeeper for calls, messages, and requests.
• Coordinate medical appointments, prescriptions, healthcare communications, and follow-up tasks.
• Accompany and assist with medical visits, ensuring appointments, records, and provider communications are properly managed.
• Support coordination with caregivers and healthcare providers to ensure continuity of daily care.
• Oversee household operations across multiple residences, including maintenance, repairs, vendors, deliveries, and service providers.
• Maintain organized records, including invoices, financial documents, insurance records, tax materials, and household files.
• Coordinate household purchases, supplies, grocery orders, and personal needs.
• Manage guest schedules, travel arrangements, reservations, and property-related logistics.
• Assist with technology needs, including phones, computers, online accounts, and digital organization.
• Coordinate with accountants and professional advisors regarding administrative and financial matters.
• Ensure the home remains organized, functional, and well-maintained through proactive planning and attention to detail.
• Maintain complete confidentiality regarding personal, medical, financial, and family information.

Requirements

• Previous experience as a personal assistant, executive assistant, household manager, care coordinator, or similar role.
• Exceptional organizational skills and the ability to manage multiple priorities simultaneously.
• Strong attention to detail with excellent follow-through.
• Professional communication skills and the ability to interact comfortably with family members, healthcare providers, vendors, and professionals.
• Ability to handle sensitive and confidential information with discretion and integrity.
• Proactive problem-solving skills and the ability to anticipate needs.
• Comfortable using technology, including email, calendars, online accounts, and digital record systems.
• Reliable, patient, and compassionate approach when supporting seniors and individuals with changing needs.
• Ability to work independently and take ownership of responsibilities.
• Valid driver’s license (optional) and comfort assisting with local transportation needs preferred.

Pay: $55,000.00 - $80,000.00 per year
