Temporary Executive Assistant

A well-established private investment organization is seeking a Temporary Executive Assistant to provide high-level administrative support to a senior executive. This opportunity offers $30–40 per hour, depending on experience, and is hybrid in downtown Chicago.

The position is expected to run from August through December and offers the opportunity to work alongside an experienced administrative team while supporting a fast-paced executive across both business and personal matters. Company-issued equipment will be provided for remote work, and the role offers valuable exposure within a collaborative, high-performing environment.

Key Responsibilities of the Temporary Executive Assistant

• Manage a high-volume executive inbox by prioritizing communications, flagging action items, and maintaining overall organization.
• Coordinate and maintain a complex calendar, including scheduling meetings, appointments, travel, and recurring personal commitments.
• Arrange domestic and international travel, including commercial and private transportation, hotel accommodations, and itinerary coordination with travel partners.
• Serve as the primary point of contact between the executive and internal or external stakeholders while managing requests and protecting the executive's schedule.
• Coordinate ticketing and reservations for business and personal events while ensuring timely transfers and confirmations through designated platforms.
• Support various administrative, research, and project-based assignments, including occasional meeting attendance and note-taking.
• Partner closely with the existing administrative team to ensure seamless day-to-day operations and provide additional support as business needs evolve.

Qualifications of the Temporary Executive Assistant

• Previous executive or administrative support experience in a fast-paced professional environment.
• Strong organizational skills with the ability to effectively manage multiple priorities and shifting deadlines.
• Excellent written and verbal communication skills with a professional and polished demeanor.
• Proficiency in Microsoft 365, including Outlook, Word, Excel, and Teams.
• Ability to exercise discretion and maintain confidentiality while supporting senior leadership.
• Comfortable working independently while collaborating effectively with remote and in-office team members.
• Flexible schedule with the ability to occasionally assist outside of standard business hours when necessary.
