Executive Assistant to the CEO

A Los Angeles-based creative production company is seeking a full-time Executive Assistant to support the CEO in both professional and personal capacities. This is a long-term, in-office role for someone who enjoys creating structure, staying organized, and helping day-to-day operations run smoothly behind the scenes.

The ideal candidate is thoughtful, dependable, highly organized, and comfortable working closely with one principal in a collaborative and fast-paced environment. This role is best suited for someone who values discretion, consistency, and long-term partnership.

Responsibilities

Executive & Personal Support

• Manage the CEO’s calendar across business and personal commitments
• Stay ahead of upcoming needs, deadlines, meetings, and logistics
• Help organize priorities and keep day-to-day operations running smoothly
• Draft emails, reminders, notes, and other correspondence when needed
• Coordinate travel, scheduling, appointments, and personal logistics
• Handle sensitive information with professionalism and discretion

Operations & Administrative Support

• Help maintain organized systems, documents, trackers, and shared resources
• Coordinate with vendors, service providers, and building management
• Support office and studio organization, supplies, and general logistics
• Keep information organized and easily accessible
• Assist in improving workflows and processes over time

Projects & Coordination

• Support internal projects, team initiatives, and occasional client-facing moments
• Assist with decks, templates, presentations, and recurring materials
• Coordinate gifting, events, and detail-oriented projects
• Help move projects forward proactively and thoughtfully

Qualifications

• 5+ years supporting an executive, founder, or principal
• Comfortable blending professional and personal support responsibilities
• Organized, proactive, detail-oriented, and calm under pressure
• Strong written and verbal communication skills
• Comfortable using Google Workspace, Notion, Slack, and light presentation tools such as Canva
• Discreet, thoughtful, and dependable
• Someone who enjoys being helpful, reliable, and service-oriented
• Interested in a stable, long-term role built on trust and partnership

Work Environment

• Full-time, in-office role based in Los Angeles
• General schedule is weekday business hours, with occasional flexibility as priorities shift
• Collaborative, organized, and fast-paced environment
• Reliable transportation and consistency are important for success in the role
