The Opportunity

An exceptional opportunity has become available for an experienced, highly organised Personal Assistant to join the executive office of an ultra-high-net-worth principal and their family.

This is not a traditional household PA role. The successful candidate will primarily support the day-to-day operations of the family's business and executive office, working alongside an experienced Senior Executive Assistant, Chief of Staff, Travel Manager and wider support team.

A significant part of the role involves ensuring the office runs efficiently by managing a variety of hands-on administrative and logistical tasks. From coordinating deliveries and organising client gifts to running time-sensitive errands across Los Angeles, you'll become an integral part of a high-performing executive support team.

While there will be occasional crossover into personal support, this will primarily be for the Mrs. The husband is supported by a dedicated Senior Executive Assistant, meaning this role is focused far more on supporting the wider executive office than acting as a traditional PA to the principal.

Key Responsibilities

• Support the Senior Executive Assistant with a broad range of business-related administrative and operational tasks.
• Run daily errands throughout Los Angeles on behalf of the executive office.
• Purchase, organise, wrap and coordinate the delivery of client gifts, corporate gifts and special occasion presents.
• Source products, supplies and last-minute requests for the business and executive office.
• Coordinate courier collections, deliveries and logistics.
• Organise coffee runs, lunches, catering and refreshments for meetings and office events.
• Assist with shopping, returns and procurement for business-related requirements.
• Liaise with luxury retailers, vendors, suppliers and service providers.
• Assist with event preparation, office projects and special initiatives as required.
• Work closely with the Chief of Staff, Senior Executive Assistant and Travel Manager to ensure day-to-day operations run seamlessly.
• Provide occasional personal assistance to the Mrs, including appointments, shopping, gifting and lifestyle-related requests.
• Maintain complete discretion when handling confidential information.
• Anticipate needs and proactively resolve issues before they arise.

Ideal Candidate

• Previous experience supporting a UHNW principal, family office, executive office or C-suite executive.
• Highly organised with exceptional attention to detail.
• Naturally proactive and enjoys taking ownership of tasks.
• Happy to spend a large portion of the day out of the office running errands and coordinating logistics.
• Strong multitasker who performs well in a fast-paced environment.
• Professional, polished and service-driven.
• Excellent communication skills.
• Valid driver's licence with confidence driving throughout Los Angeles.
• High level of discretion, integrity and confidentiality.
