Executive Assistant, Legal

Consilio’s Direct Hire Division is partnering with a leading global law firm to identify an experienced Legal Executive Assistant to support a busy Investment Funds practice. This is a high-visibility role supporting attorneys in a demanding and fast-paced environment.

The ideal candidate will serve as a trusted business partner, managing strategic administrative functions and helping attorneys operate efficiently while delivering exceptional client service.

• Location: Austin, TX
• Schedule: Standard 3 days in-office / 2 days remote after approximately 60 days of onboarding

Position Summary

The Legal Executive Assistant acts as an executive-level partner to attorneys, overseeing day-to-day practice management, coordinating critical projects, facilitating communication with clients and internal stakeholders, and ensuring deadlines and priorities are met.

This role requires a strong understanding of law firm processes, exceptional organizational skills, and the ability to manage competing priorities with professionalism and discretion.

Key Responsibilities

• Manage attorney workflows, projects, and deadlines to ensure timely completion of critical tasks and initiatives.
• Serve as the primary liaison between attorneys, clients, and internal departments, handling communications with sound judgment and professionalism.
• Coordinate complex calendars, meetings, travel arrangements, and scheduling priorities.
• Prepare, proofread, revise, and finalize legal documents, presentations, correspondence, and other attorney work product.
• Oversee meeting logistics, agendas, client materials, and follow-up action items.
• Manage billing processes, including pre-bill coordination, invoice follow-up, and communication with firm accounting teams.
• Coordinate with Legal Administrative Assistants (LAAs), Legal Support Assistants (LSAs), and shared services teams to ensure seamless support delivery.
• Monitor and delegate administrative assignments while tracking progress and ensuring timely completion.
• Maintain electronic and physical filing systems and ensure documents are organized and accessible.
• Conduct research and compile information for attorney briefings, client meetings, and practice group initiatives.
• Assist with time entry, expense reporting, and other operational support activities.
• Build strong relationships across the firm and provide guidance, mentorship, and feedback to support team members as appropriate.

Qualifications

• High School Diploma or GED required.
• Bachelor’s degree in Business Administration, Legal Studies, or a related field preferred.
• Minimum 5 years of experience supporting senior attorneys, executives, or upper-level leadership within a law firm or professional services environment.
• Experience supporting sophisticated corporate, transactional, or investment funds practices preferred.
• Strong understanding of legal terminology, law firm operations, and attorney support functions.
• Exceptional organizational, project management, and multitasking skills.
• Ability to prioritize competing demands and work effectively in a high-volume environment.
• Excellent written, verbal, and interpersonal communication skills.
• Demonstrated professionalism, discretion, sound judgment, and ability to handle confidential information.

Technical Skills

• Advanced proficiency in Microsoft Word, Outlook, PowerPoint, and Excel.
• Experience with document management systems, legal software, and firm technology platforms.
• Comfortable utilizing virtual collaboration tools including Microsoft Teams and Zoom.
• Ability to quickly learn new applications and leverage technology to improve efficiency and workflow management.
