Responsibilities

• Manage and coordinate executive calendars, including scheduling meetings, appointments, and business travel arrangements with precision and attention to detail.
• Provide comprehensive administrative support such as handling correspondence, preparing reports, proofreading documents, and transcribing audio or video recordings.
• Organize and facilitate events, meetings, and conferences by managing logistics, preparing materials, and ensuring seamless execution.
• Maintain confidentiality when handling sensitive information and ensure secure data entry and filing practices.
• Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic financial record keeping.
• Support internal communication efforts by drafting professional emails, memos, and presentations using Microsoft Office Suite and Google Workspace tools.
• Collaborate closely with C-suite executives on project coordination, office management tasks, and other administrative duties to enhance productivity.

Qualifications

• Proven experience as a Personal Assistant or Executive Administrative Support role with strong organizational skills.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and video conferencing software such as Zoom or Microsoft Teams.
• Demonstrated ability to manage multiple priorities efficiently while maintaining high attention to detail.
• Excellent typing speed along with strong writing skills for proofreading and transcription tasks.
• Experience with office management systems including multi-line phone systems, filing systems, and data entry procedures.
• Knowledge of bookkeeping tools like QuickBooks plus experience in business travel planning and event organizing.
• Exceptional communication skills with professional phone etiquette and the ability to handle confidential information discreetly.
• Technical proficiency with productivity software and familiarity with office equipment such as scanners, printers, and fax machines.
