Executive Operations Assistant

Scion Staffing has been engaged to conduct a search for an Executive Operations Assistant on behalf of a national, nonpartisan digital health policy organization.

This is an exciting direct-hire opportunity for a highly organized, proactive, and relationship-driven professional who thrives in a fast-paced, mission-driven environment supporting executive leadership, operations, communications, and external engagement initiatives.

POSITION OVERVIEW

The Executive Operations Assistant will serve as a critical operational partner to the Executive Director, helping drive day-to-day execution across communications, project coordination, stakeholder engagement, event support, and organizational operations.

This role is ideal for someone who enjoys wearing multiple hats, managing competing priorities, and operating in a highly visible support capacity within a collaborative and entrepreneurial environment. This position is approximately 95% remote; however, candidates must be comfortable attending events and meetings in the Washington, DC area once or twice per month and live commutable distance. RESPONSIBILITIES

• Support the Executive Director with inbox management, scheduling coordination, communications, and daily operational priorities
• Coordinate projects, timelines, follow-ups, and deliverables across multiple organizational initiatives
• Manage vendor coordination, contracts, invoices, payment tracking, and renewal processes
• Execute outreach campaigns and support relationship management efforts with external organizations, partners, policymakers, and stakeholders
• Draft professional communications, follow-up correspondence, and stakeholder-facing materials
• Assist with event planning and execution including logistics, invitations, vendor coordination, and stakeholder experience management
• Support project management efforts across communications, events, partnerships, and organizational initiatives
• Maintain calendars, scheduling tools, and organizational systems to ensure smooth day-to-day operations

QUALIFICATIONS

• 2–6 years of professional experience in executive support, operations, project coordination, communications, associations, consulting, startups, nonprofit organizations, or related environments
• Strong written and verbal communication skills with the ability to draft polished professional correspondence
• Highly organized with strong attention to detail and ability to manage multiple priorities simultaneously
• Comfortable operating in a fast-paced, high-accountability environment with minimal oversight
• Experience supporting calendars, scheduling, communications, or operational coordination functions
• Proficiency with Microsoft Office Suite and familiarity with project management, CRM, scheduling, and communication platforms preferred
• Interest in healthcare, policy, digital health, nonprofit advocacy, or mission-driven work strongly preferred

COMPENSATION AND BENEFITS
