Executive Assistant and Board Liaison

About the Role

TACA is seeking a dynamic, energetic professional as the Executive Assistant and Board Liaison. As a vital member of the team, this position provides critical administrative support to TACA’s President & Executive Director and Deputy Director, along with the TACA team. This position also acts as the key liaison to TACA’s Board of Directors.

The Executive Assistant and Board Liaison will be responsible for all aspects of administrative support to the President & Executive Director and supplemental support to the Deputy Director and other TACA staff, as directed, to ensure that TACA operates in an organized, efficient, and professional manner. This position is central to our team’s success.

The Executive Assistant will champion a collaborative environment by providing dedicated administrative support and keeping communication flowing smoothly between staff and board members.

A Day In the Life…

Executive Support & Operations

• Serve as a welcoming point of contact for board members, major donors, and community leaders.
• Directly report to and serve the Office of President & Executive Director and manage a complex calendar and priorities.
• Support the Office of the Deputy Director.
• Draft and edit professional communications.
• Anticipate executive needs and proactively solve problems.
• Track priorities, deadlines, and follow-up items across departments including People Operations.
• Coordinate hospitality for board meetings and other in-office meetings and events.
• Build professional relationships with volunteers, staff, and community partners.
• Represent TACA professionally and warmly in all interactions.

Board Management

• Serve as the primary staff liaison to TACA’s Board of Directors.
• Coordinate all Board meetings, Executive Committee meetings, and Board committee meetings.
• Prepare board agendas and meeting materials in partnership with staff committee leaders and Board/Committee leadership.
• Maintain the annual governance calendar and annual board documentation.
• Record and distribute board and committee minutes.
• Coordinate board orientations and onboarding.
• Maintain governance documents, policies, bylaws, and board records.
• Support board committee work and communications.
• Manage board portal and board communications.

• Bachelor’s degree preferred
• Minimum 1-2 years’ experience

Distribution of Work by Percentage

• Executive Support: 40% - Provides administrative, calendar, communications, and relationship support for efficient leadership operations.
• Board Management: 40% - Coordinates Board meetings, materials, records, communications, onboarding, and committee support.
• Operational Support: 20% - Supports office operations through logistics, hospitality, staff/IT support, tracking, and problem-solving.

Compensation

Salary Range

$60,000+ annually, with eligibility for discretionary bonus payout, commensurate with experience and qualifications.

TACA provides full-time employees paid health insurance (PPO), life insurance, short- and long- term disability, parking and unlimited PTO (after a 60-day period). Full-time employees are eligible to participate in TACA's 401(k) retirement plan, which includes a dollar-for-dollar employer match on employee contributions up to 3%. TACA offers a flexible hybrid work schedule.
