Job Overview

We're an air conditioning company looking for a dependable, organized, and positive Office Assistant to help keep our office running smoothly. This is an excellent entry-level opportunity for someone who enjoys staying busy, helping others, and taking pride in keeping an office organized.

No two days are exactly the same. You'll assist with customer follow-up, scheduling, office organization, shipping, errands, marketing projects, and a variety of administrative tasks that help our team succeed.

Responsibilities

• Welcome customers and visitors with a friendly, professional attitude.
• Make outgoing customer follow-up calls.
• Schedule appointments and help maintain office calendars.
• Prepare UPS, FedEx, and USPS shipments and returns.
• Run occasional local office errands.
• Organize paperwork and maintain filing systems.
• Sort incoming mail and help manage office supplies.
• Assemble marketing mailers and promotional materials.
• Keep the front office clean, organized, and welcoming.
• Assist with data entry and other administrative tasks.
• Support the office team with day-to-day operations.
• Help with special projects as needed.

Qualifications

• High school diploma or GED required.
• Valid driver's license required.
• Reliable personal vehicle with current auto insurance.
• Comfortable driving locally for occasional errands.
• Strong organizational and time management skills.
• Friendly, professional, and customer-focused.
• Excellent attendance and punctuality. Being on time is extremely important.
• Comfortable making outgoing phone calls.
• Basic computer skills, including Microsoft Office and email.
• Able to multitask in a fast-paced office.
• Willing to learn and take initiative.
• Authorized to work in the United States.
