Duties

• Manage multi-line phone systems to handle incoming calls from customers, drivers, and internal departments with courtesy and efficiency, adhering to professional phone etiquette.
• Coordinate vehicle dispatching by utilizing vehicle dispatch software and transportation management systems such as Oracle Transportation Management to assign loads accurately and promptly.
• Maintain clear internal communication channels to relay dispatch instructions, updates, and urgent notifications effectively across teams.
• Input and update data entries related to shipments, freight details, driver logs, and customer information with precision using Microsoft Office tools and logistics software.
• Monitor GPS and GIS (Geographic Information Systems) data to track vehicle locations, optimize routes, and ensure compliance with DOT (Department of Transportation) regulations.
• Assist in shipping & receiving processes by coordinating pickups, deliveries, and documentation in accordance with safety standards and company policies.
• Support transportation planning efforts by analyzing route efficiency, scheduling deliveries, and ensuring adherence to DOT regulations for road transportation operations.

Qualifications

• Proven experience in transportation management systems (TMS), vehicle dispatch software, or related logistics platforms such as Oracle Transportation Management.
• Strong knowledge of GIS, GPS technology, supply chain logistics, and road transportation operations.
• Excellent communication skills with the ability to manage multi-line phone systems effectively while demonstrating professional phone etiquette.
• Proficiency in Microsoft Office applications including Word, Excel, and Outlook for data entry and reporting tasks.
• Familiarity with shipping & receiving procedures along with freight management processes.
• Understanding of DOT regulations governing commercial vehicle operations to ensure compliance during dispatching activities.
• Exceptional organizational skills paired with analysis capabilities to prioritize tasks efficiently in a fast-paced environment.
