Position Overview

We are looking for a friendly, dependable, and organized Front Desk & Administrative Assistant to support our team during busy afternoon and early evening hours.

As the first point of contact for members, families, and visitors, you will play an important role in creating a positive first impression of Gracie Raleigh. You will welcome prospective clients, assist current members with account questions and merchandise purchases, and help ensure the academy remains clean, organized, and professional.

This position also includes administrative responsibilities such as data entry, lead follow-up, client communication, social media engagement, inventory management, and basic reporting. Strong customer service and communication skills are essential.

Key Responsibilities

Front Desk & Member Support

• Greet members, families, guests, and prospective clients in a professional and welcoming manner
• Answer phone calls and respond to texts and emails
• Assist members with account questions, payments, membership holds or freezes, and waivers
• Clearly communicate academy policies and procedures
• Help maintain an organized and professional front desk environment

Free Trials, Lead Follow-Up & Retention

• Respond promptly to free-trial inquiries
• Give facility tours to prospective members and families
• Send trial reminders and post-trial follow-up messages
• Follow up with new leads and trial participants to support membership enrollment
• Respond to messages and comments on Facebook and Instagram

Retail & Inventory

• Assist members with merchandise purchases
• Monitor inventory and identify items that need to be reordered
• Maintain rental and loaner equipment
• Manage laundry associated with loaner equipment
• Keep the equipment room clean and organized

Facility Upkeep

• Keep the front desk, lobby, restrooms, and back room clean and organized
• Restock paper towels, toilet paper, hand sanitizer, and other supplies
• Help ensure the academy remains clean, welcoming, and ready for members and visitors

Administrative Support

• Update member records, including contact information, waivers, and emergency contacts
• Track attendance and belt or stripe progress in Zen Planner
• Assist with client and prospective-member emails
• Perform basic data entry and recordkeeping
• Pull basic attendance or membership reports as requested

Qualifications

• Previous customer service experience in a front desk, retail, hospitality, fitness, or similar setting is preferred
• Strong communication, organization, and follow-through
• Friendly, dependable, and professional demeanor
• Comfortable using basic computer systems, email, text messaging, social media, and scheduling tools
• Ability to prioritize and multitask in a busy environment
• Interest in martial arts, fitness, or youth development is a plus
• Bilingual in English and Spanish is a plus

Additional Details

This is a part-time support position focused on front desk coverage, member communication, administrative assistance, and daily facility upkeep. The owner and head coach will continue to handle general management and most higher-level administrative responsibilities.
