Client Services Coordinator & Legal Receptionist

Every person who calls or walks through our door is dealing with something hard. A car accident. An injury on the job. Medical bills piling up while they can't work. By the time they reach us, many of our clients have already been dismissed, rushed, or made to feel like a case number somewhere else.

We're hiring someone who won't let that happen here.

This isn't simply a job where you sit at a desk and route calls. You are the first voice, the first face, and often the first sense of relief a client gets. How you answer the phone, how you explain what happens next, how you make someone feel heard when they're anxious—that’s not a side detail of this role; it is the role.

We're a plaintiff-only workers' compensation firm, and we're looking for a Client Services Coordinator who takes ownership of the client experience from the first interaction.

What You'll Do

• Serve as the first point of contact for clients, visitors, medical providers, attorneys, and other professionals—in person and by phone
• Answer and route incoming calls professionally, courteously, and efficiently
• Give clients a genuinely welcoming experience, and help them feel supported and informed rather than processed
• Sort and distribute incoming mail and correspondence
• Schedule and coordinate client appointments, including Independent Medical Examinations (IMEs)
• Assist clients with obtaining medical releases and authorizations
• Communicate clearly with clients about paperwork, appointments, case-related next steps, and general questions
• Know when to escalate a question to an attorney or paralegal, and do so without letting the client feel bounced around
• Maintain accurate records and support the administrative work that keeps cases moving efficiently

• A team player who adds something positive to the people around them, not just someone who gets through the day

Preferred (Not Required) Qualifications

• Prior experience at a workers' compensation law firm (strongly preferred)
• Prior legal industry experience
• Experience with Needles case management software
• Spanish-language proficiency
• Experience in a client-facing, service-oriented role
