Accounts Assistant – Trading & Distribution Company

We are looking for a motivated and detail-oriented Accounts Assistant to support our Finance Department with day-to-day accounting, financial, and administrative activities. The ideal candidate should have experience in a trading or distribution company, possess strong organizational skills, and be proficient in Tally Prime and Microsoft Excel.

The successful candidate will play an important role in ensuring accurate financial records, timely processing of transactions, account reconciliations, and smooth coordination between the Finance, Sales, Procurement, Warehouse, and Logistics teams.

Key Responsibilities

The successful candidate will be responsible for, but not limited to:

• Record daily accounting transactions accurately using Tally Prime or other accounting software.
• Prepare and process sales invoices, purchase invoices, credit notes, debit notes, receipts, payment vouchers, and journal entries.
• Maintain accurate Accounts Receivable (AR) and Accounts Payable (AP) records.
• Monitor customer outstanding balances and assist with payment follow-ups and collections.
• Reconcile customer, supplier, bank, and petty cash accounts regularly.
• Process employee expense claims and maintain petty cash records.
• Verify purchase orders, delivery notes, invoices, and supporting documentation before processing.
• Maintain organized accounting records and ensure proper filing of financial documents.
• Assist with inventory reconciliation and coordinate with the warehouse regarding stock-related transactions.
• Prepare daily, weekly, and monthly reports, including receivables, payables, outstanding balances, cash position, and management summaries.
• Generate weekly KPI reports and support management reporting.
• Assist with month-end and year-end closing activities.
• Support UAE VAT documentation, reconciliations, and audit requirements.
• Coordinate with Sales, Procurement, Logistics, Warehouse, and Customer Service teams to ensure accurate financial records.
• Assist external auditors by providing financial information and supporting documentation.
• Ensure compliance with company financial policies, accounting procedures, and internal controls.
• Perform other accounting and administrative duties assigned by management.

Education

• Bachelor's (Required)

Experience

• Accounting: 3 years (Preferred)
