Key ResponsibilitiesA. Procurement Responsibilities1. Purchasing & Sourcing
- Source and procure materials, equipment, tools, and services required for projects and factory operations.
- Obtain and evaluate quotations from multiple suppliers.
- Negotiate prices, delivery schedules, and payment terms.
- Issue Purchase Orders (POs) and follow up on order execution.
- Develop and maintain an approved supplier database.
- Identify alternative suppliers to improve cost efficiency and lead times.
- Vendor Management
- Establish and maintain strong relationships with suppliers and subcontractors.
- Conduct supplier evaluations based on quality, price, delivery, and service.
- Resolve supply chain and delivery-related issues.
- Monitor supplier performance and compliance.
- Material Planning & Inventory Control
- Coordinate with project, production, and site teams regarding material requirements.
- Monitor stock levels and ensure timely replenishment.
- Track material deliveries and ensure compliance with project schedules.
- Maintain procurement records and inventory reports.
- Assist in reducing material wastage and procurement costs.
- Cost Control & Budget Monitoring
- Compare quotations and recommend cost-effective purchasing solutions.
- Track procurement budgets and expenditures.
- Support management in achieving procurement savings targets.
- Prepare procurement reports and cost analyses.
- Documentation & Compliance
- Maintain procurement files, contracts, purchase orders, and supplier records.
- Ensure all procurement activities comply with company policies.
- Coordinate material submittals, technical approvals, and delivery documentation.
- Maintain proper records for audits and management reviews.
B. PRO Responsibilities1. Government Liaison
- Act as the company's representative with UAE government authorities.
- Process and renew trade licenses, establishment cards, and company registrations.
- Coordinate with labor, immigration, municipality, customs, and free zone authorities as required.
- Maintain good relationships with government departments and external agencies.
- Visa & Immigration Processing
- Process employment visas, residence visas, labor permits, and visa cancellations.
- Coordinate medical fitness tests, Emirates ID applications, and biometric appointments.
- Monitor visa expiry dates and ensure timely renewals.
- Maintain employee immigration and labor records.
- Labor & Regulatory Compliance
- Ensure compliance with UAE labor laws and regulations.
- Process labor contracts, work permits, and labor card renewals.
- Coordinate labor inspections and respond to regulatory requirements.
- Maintain records related to labor and immigration compliance.
- Vehicle & Company Documentation
- Process vehicle registrations and renewals.
- Arrange insurance renewals for company vehicles and assets.
- Manage company document attestations and notarizations.
- Coordinate permit applications and renewals as required.
- Employee Support Services
- Assist employees with visa-related requirements.
- Coordinate travel arrangements and documentation when required.
- Support onboarding and offboarding processes.
- Address employee queries related to government documentation.
Qualifications
- Bachelor's Degree or Diploma in Business Administration, Supply Chain Management, Commerce, or a related field.
- UAE PRO certification or relevant experience is preferred.
Experience
- 3–8 years of experience in procurement and PRO activities within the UAE.
- Experience in aluminium, steel fabrication, construction, or manufacturing industries is preferred.
- Strong knowledge of UAE labor, immigration, and municipality regulations.
Technical Skills
- Procurement and vendor management.
- Purchase order and inventory management.
- Cost analysis and negotiation.
- Knowledge of UAE labor and immigration procedures.
- Government portal operations (MOHRE, ICP, Municipality, Free Zone portals, etc.).
- Microsoft Office (Excel, Word, Outlook).
- ERP software experience is an advantage.
