Role Overview

This is a front-facing role with a 70/30 split – 70% patient coordination and 30% administrative support. You will be the first point of contact for patients, managing their journey from inquiry to check-out, while also supporting the clinic's daily operations with light admin tasks.

Key Responsibilities

Patient-Facing (70%)

• Greet and welcome patients warmly upon arrival
• Manage appointment bookings, rescheduling, and confirmations via phone, WeChat, and other chat platforms
• Respond to patient inquiries regarding treatments, pricing, and clinic policies
• Coordinate with clinical staff to optimise patient flow and reduce wait times
• Handle new patient registration, check-outs, payments, and receipts
• Process direct billing insurance claims and follow up with insurers
• Send appointment reminders to reduce no-show rates
• Address patient complaints and emergency scheduling with professionalism and empathy

Administrative Support (30%)

• Monitor clinic email inbox and forward relevant messages to team members
• Assist with ordering clinic supplies and managing inventory
• Stay updated with medical/dental regulations via WeChat groups and support the clinical team with compliance documentation
• Support the Clinic Manager with ad‑hoc HR and operational tasks
• Maintain patient records and ensure data accuracy
• Assist with basic reporting and administrative filing

What We're Looking For

Essential

• Fluent in English (spoken and written)
• Excellent communication and interpersonal skills
• Professional, polished presentation with a warm and welcoming demeanour
• Strong organisational skills and attention to detail
• Ability to multitask and handle pressure during busy periods
• Proficiency in MS Office (Word, Excel, Outlook) and comfortable learning new software

Preferred (not required)

• Previous experience in a dental or medical clinic
• Experience with patient management software
• Knowledge of insurance claims processing
