Position Overview

Sound Transit is seeking an experienced Senior Executive Assistant for a one-month contract assignment at its downtown Seattle office. This individual will provide high-level administrative support to senior leadership, manage competing priorities, and help ensure efficient day-to-day operations.

The ideal candidate is highly organized, professional, discreet, and comfortable working in a fast-paced environment with multiple stakeholders. This position requires strong communication skills, sound judgment, and the ability to handle confidential information.

Key Responsibilities

• Provide comprehensive administrative support to senior executives.
• Manage complex calendars, meetings, appointments, and scheduling conflicts.
• Coordinate in-person and virtual meetings, including agendas, materials, technology, and follow-up items.
• Prepare, edit, and format correspondence, reports, presentations, and other executive-level documents.
• Coordinate travel arrangements and prepare related itineraries and expense reports.
• Screen and prioritize emails, phone calls, requests, and other communications.
• Serve as a professional liaison between executives, internal departments, external partners, and community stakeholders.
• Track deadlines, commitments, and action items to ensure timely completion.
• Maintain organized electronic and physical records.
• Handle sensitive and confidential information with discretion.
• Provide coverage and support for special projects and other administrative needs during the contract period.

Qualifications

• Five or more years of executive-level administrative support experience preferred.
• Previous experience supporting senior executives or multiple leaders.
• Excellent calendar management, organization, and prioritization skills.
• Strong written and verbal communication skills.
• Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
• Ability to quickly learn internal systems and processes.
• Strong attention to detail and ability to work independently.
• Professional demeanor and sound judgment when handling sensitive matters.
• Ability to manage changing priorities and meet deadlines in a fast-paced environment.
• Public-sector, transportation, infrastructure, or government experience is a plus.
