Position Title: Executive Assistant to the Moderator of the Curia and Chief Financial Officer

Department: Office of the Moderator of the Curia

Reports To: Moderator of the Curia and Chief Operating Officer

Status: Full-Time, Exempt

Position Summary

The Executive Assistant serves as the primary administrative support to both the Moderator of the Curia and Chief Financial Officer providing professional, confidential, and highly organized assistance in the administration of the Archdiocese of Philadelphia.

This position plays a vital role in supporting the mission of the Church through effective coordination of communications, scheduling, projects, meetings, and correspondence involving clergy, archdiocesan offices, parishes, and external organizations.

The successful candidate will demonstrate exceptional judgment, discretion, professionalism, attention to detail, and the ability to work collaboratively within a faith-based environment.

Essential Duties and Responsibilities

Executive Support

• Manage and maintain the calendar for both positions, scheduling appointments, meetings, and events.
• Coordinate travel arrangements and prepare travel itineraries as needed.
• Prepare correspondence, reports, presentations, meeting agendas, reconciliation of receipts/expenditures, and other documents.
• Screen and prioritize incoming communications, ensuring timely responses and appropriate follow-up.
• Maintain confidential files and records in accordance with diocesan policies and best practices.

Curial and Administrative Support

• Assist in coordinating matters involving archdiocesan departments, clergy, parishes, and institutions.
• Support special projects and initiatives directed by the Moderator of the Curia and Chief Financial Officer
• Coordinate meetings, prepare materials, and record minutes when required.
• Monitor project timelines and follow up on assignments to ensure timely completion.
• Assist with the preparation and distribution of official archdiocesan communications and directives.

Communication and Relationship Management

• Serve as a professional point of contact for clergy, religious, lay leadership, and external partners.
• Facilitate effective communication among archdiocesan offices and stakeholders.
• Handle sensitive matters with diplomacy, discretion, and pastoral sensitivity.

Qualifications

Education and Experience

• Bachelor's degree preferred; equivalent combination of education and experience will be considered.
• Minimum of three years of executive administrative support experience, preferably in a nonprofit, educational, religious, or professional office environment.
• Experience supporting senior leadership preferred.

• Proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Teams, and related applications.
• Ability to work independently while collaborating effectively with colleagues across the Archdiocese.

Physical Requirements

• Prolonged periods of sitting and computer work.
• Occasional lifting of office materials up to 20 pounds.
• Ability to move throughout archdiocesan offices and meeting locations as needed.
