Hiring UAE National- Administrative Assistant

Key Responsibilities

• Administrative Support
• Provide administrative support to the management team and departments.
• Manage calendars, schedule meetings, and coordinate appointments.
• Prepare, format, and maintain reports, presentations, and correspondence.
• Handle incoming calls, emails, and visitor inquiries professionally.
• Organize meetings, take minutes, and follow up on action items.
• Documentation & Record Management
• Maintain and organize physical and electronic filing systems.
• Prepare letters, memos, and other business documents.
• Ensure records and confidential documents are maintained securely.
• Update and maintain databases, trackers, and office records.
• Office Coordination
• Coordinate office supplies and maintain inventory.
• Liaise with vendors, couriers, and service providers.
• Arrange travel bookings, hotel reservations, and transportation when required.
• Support office events, meetings, and employee engagement activities.
• Coordination & Communication
• Coordinate with internal departments to ensure smooth workflow.
• Follow up on pending approvals and administrative requests.
• Assist in preparing reports and management presentations.
• Support onboarding and administrative activities for new employees when required.
• Compliance
• Ensure compliance with company policies and administrative procedures.
• Maintain confidentiality of company information and employee records.

Qualifications

• Bachelor's degree or Diploma in Business Administration, Office Management, or a related field.

Additional administrative certifications are an advantage.

Experience2–5 years of experience as an Administrative Assistant, Office Administrator, Executive Assistant, or similar administrative role.UAE/GCC experience is preferred.
