Albert's Gas Station Maintenance Inc. has been serving Ontario's petroleum industry for over 25 years. We specialize in the installation, maintenance, inspection, and repair of fuel dispensing equipment for major fuel retailers, commercial fleets, and independent fuel stations across the province.

We're looking for an organized, dependable, and detail-oriented Operations Administrator to join our growing team. This position plays a key role in supporting our accounting, operations, inventory, customer service, and warranty departments.

What You'll Do

As an Operations Administrator, you'll be responsible for ensuring the smooth flow of information between our customers, technicians, manufacturers, vendors, and office team.

• Answer and direct calls within the office in a courteous and timely manner
• Record service requests received via phone or email in FileMaker
• Respond to customer invoice or account queries via phone or email
• Support service dispatch and technician coordination
• Manage the Accounts Receivable function
• Process credit card payments, including pre-authorized payments, through Moneris
• Post cash, cheque, EFT and credit card payments to relevant accounts in QuickBooks
• Follow up on delinquent customer accounts and collections action
• Receive parts into inventory and close purchase orders
• Post vendor pack slips and bills in QuickBooks and perform three-way match
• Manage manufacturer warranty claims processes, ensuring accuracy and timely completion
• Package and ship warranty parts to various vendors
• Track and apply warranty payments via the various supplier portals
• Prepare and maintain reports, tracking spreadsheets and operations documentation
• Take minutes in weekly and monthly meetings

Qualifications

• 3+ years of administrative or office experience
• Experience with Accounts Receivable and collections
• Strong customer service and communication skills
• Experience with QuickBooks Online or similar accounting software
• Proficiency with Microsoft Office, particularly Outlook, Excel, and Word
• Strong organizational and time management skills
• Experience with FileMaker, inventory administration, warranty processing, service-based businesses, or the petroleum industry is an asset but not required

Location

This is a full-time, in-office position based in Cambridge, Ontario.

Because this role supports daily office operations and occasionally requires time-sensitive coordination with customers, technicians, and warehouse staff, applicants must reside within approximately 30 minutes of our Cambridge office.
