Patient Service Coordinator/Medical Receptionist - Outpatient Medical Infusion Center

We're seeking a friendly, organized, and dependable Medical Receptionist / Front Desk Coordinator to join our growing team.

As the first person our patients interact with, you'll play an important role in creating a welcoming experience while helping keep our infusion center running smoothly. We're looking for someone who is proactive, detail-oriented, enjoys solving problems, takes ownership of their work, and genuinely enjoys helping patients while supporting their teammates.

What You'll Do

• Welcome patients with professionalism, warmth, and compassion
• Check patients in and out accurately and efficiently
• Schedule infusion appointments while coordinating provider schedules, infusion chair availability, and treatment timing
• Answer and direct incoming phone calls
• Verify insurance eligibility, referrals, and prior authorizations
• Coordinate with providers, specialty pharmacies, and outside offices regarding infusion scheduling
• Collect copays, deductibles, coinsurance, and outstanding balances
• Maintain accurate patient demographic and insurance information
• Scan and upload documentation into the electronic medical record (EMR)
• Communicate appointment instructions and scheduling updates to patients
• Support efficient patient flow throughout the day
• Maintain patient confidentiality in accordance with HIPAA regulations
• Keep the reception area organized and welcoming
• Assist with additional administrative tasks as needed

What We're Looking For

• High school diploma or equivalent
• Two or more years of medical office or healthcare front desk experience preferred
• Experience in an infusion center, rheumatology, oncology, gastroenterology, neurology, specialty practice, or other high-volume medical office is highly preferred
• Experience verifying Medicare and commercial insurance benefits
• Experience with referrals and prior authorizations preferred
• Experience using EMR/EHR systems (NextGen experience is a plus)
• Excellent customer service and communication skills
• Strong organizational, multitasking, and problem-solving abilities
• Exceptional attention to detail and scheduling accuracy
• Self-motivated with a strong sense of ownership, accountability, and a willingness to continuously learn and improve
• Professional appearance and demeanor
• Reliable, dependable, and punctual
• Bilingual English/Spanish or English/Creole preferred; additional languages such as Russian or Hebrew are a plus.
