The Data Administrator is a key individual-contributor role responsible for maintaining the integrity, accuracy, and compliance of organizational data. This position ensures timely reporting, seamless system integration, and strategic insights that support both day-to-day operations and long-term organizational growth.
The role requires high attention to detail, strong organizational skills, and the ability to collaborate across teams to ensure reliable data-driven decision-making.
Health Plan Compliance Submissions
\u2022 Manage monthly and quarterly submission of Enhanced Care Management (ECM) Report Template Files (RTF) and Outreach Transmission Files (OTF) to all contracted health plans
\u2022 Gather, validate, and consolidate data from multiple internal systems to ensure accuracy of member demographics, service dates, and case notes
\u2022 Ensure all submissions meet health plan-specific formatting and regulatory requirements and troubleshoot errors promptly
Member Eligibility Re-qualification
\u2022 Conduct recurring eligibility checks to confirm members remain qualified for ECM, Medi-Cal, and other service programs
\u2022 Collaborate with case managers to reassess member needs and adjust service enrollments accordingly
\u2022 Document all re-qualification activities in compliance with audit standards
System Data Integrity
\u2022 Maintain a consolidated and reliable view of member data by duplicating Lead Care Manager (LCM) notes from TheraPlatform into SalesMate
\u2022 Standardize note formatting, apply tags for efficient retrieval, and perform regular audits to identify missing or incomplete entries
\u2022 Resolve discrepancies and ensure all data supports continuity of care and compliance
Leadership and Operational Reporting
\u2022 Compile weekly updates on member statuses, including active, pending, and closed cases
\u2022 Track outreach completion rates, reassessment activity, and engagement levels
\u2022 Translate raw data into actionable insights and deliver reports to leadership and department teams
Member Profile Oversight
\u2022 Review and update member profiles to ensure accurate active and inactive statuses
\u2022 Confirm discharge reasons, service end dates, and transitions are documented correctly for compliance
\u2022 Flag and resolve discrepancies with care teams
Research and Expansion Support
\u2022 Aggregate demographic and healthcare data to identify new regions for community-based program expansion
\u2022 Maintain databases of potential partners, community events, and outreach opportunities to support growth initiatives
Cross-Department Support
\u2022 Collaborate with operations, IT, and leadership teams to improve data workflows and reporting processes
\u2022 Assist with audits, data migrations, and onboarding of new staff in system use and reporting protocols
\u2022 Bachelor's degree in Data Management, Healthcare Administration, Information Systems, or related field, or equivalent experience
\u2022 Two or more years of experience in healthcare data administration, reporting, or compliance
\u2022 Proficiency with CRM systems and reporting tools such as TheraPlatform or SalesMate
\u2022 Strong analytical, organizational, and problem-solving skills
\u2022 Excellent communication and attention to detail
\u2022 Preferred: Familiarity with Medi-Cal, ECM, CalAIM, and health plan compliance processes
