This individual will oversee daily clinic operations, support patient experience, coordinate scheduling, and ensure smooth front-office operations within our premium aesthetics and hair restoration clinic.

The ideal candidate will possess exceptional organizational skills, strong computer literacy, and excellent customer service abilities.

Bilingual proficiency and experience with office management software are highly valued to help foster a productive and positive workplace.

Responsibilities

• Manage daily office and clinic operations
• Coordinate patient scheduling, confirmations, and follow-ups
• Ensure a premium and welcoming client experience.
• Provide exceptional customer service by addressing inquiries promptly and supporting client or patient interactions as needed
• Support front desk operations and administrative duties
• Maintain patient records and office organization
• Coordinate inventory and office supplies
• Handle client inquiries professionally and efficiently
• Assist management with operational and administrative task.

.Maintain organized filing systems, manage data entry tasks, and ensure accurate record-keeping using tools like Microsoft Office, Google Workspace, and QuickBooks.

• Support bookkeeping activities such as invoicing, expense tracking, and basic financial record management
• Manage office supplies inventory, order necessary materials, and ensure the office environment remains organized and welcoming

Qualifications

• Previous office management or clinic management experience preferred
• Strong communication and organizational skills
• Professional appearance and customer-service mindset
• Ability to multitask in a fast-paced environment
• Experience in aesthetics, medical spa, or healthcare settings is an asset
• Highly reliable, detail-oriented, and proactive
• Proven experience in office management or administrative roles with strong clerical skills
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
• Experience with QuickBooks or similar bookkeeping software is preferred
• Excellent organizational skills with keen attention to detail and ability to multitask effectively
• Strong communication skills, including phone etiquette and customer support experience; bilingual ability is a plus.
• Prior experience in medical or dental receptionist roles or personal assistant positions is advantageous
• Demonstrated ability to handle confidential information discreetly while maintaining professionalism
