Job Overview

As the first point of contact for our Charlotte office, the Receptionist/Administrative Assistant plays an important role in creating a positive and professional experience for clients, visitors, vendors, and employees. This position manages the front desk and incoming calls while providing administrative support to the Contract Coordinators, Accounting Department, and other team members.

The ideal candidate is organized, dependable, detail-oriented, and comfortable managing multiple priorities in a busy office environment.

Job Type: Full-Time, In Office

Schedule: Monday through Friday, 8:00 a.m. – 5:00 p.m., with a one-hour lunch break.

Responsibilities and Duties

• Answer the multi-line telephone system using the company-approved greeting in a friendly and professional manner.
• Route incoming calls, provide assistance, and furnish general information to internal and external callers.
• Greet and direct visitors to the appropriate department and notify employees when their visitors arrive.
• Efficiently receive, sort, and distribute mail and deliveries within the organization.
• Make copies, scan documents, and provide general administrative support.
• Assist Accounting Department with invoice processing (data entry).
• Coordinate onboarding for new hires.
• Provide day-to-day administrative support to Contract Coordinators and other members of the team.
• Coordinate routine project support needs, including contacting vendors to schedule or request services such as dumpster deliveries, exchanges, and removals.
• Book hotel accommodations for field crews and assist with other travel-related arrangements as needed.
• Reconcile company credit card statements by matching transactions to receipts submitted by field employees and following up on missing documentation.
• Maintain organized records and documentation related to project support, credit card transactions, travel arrangements, and vendor services.

Qualifications

• High school diploma or equivalent.
• At least one year of receptionist, administrative, or general office experience.
• Proficiency with Microsoft Outlook and Word, with basic working knowledge of Excel.
• Strong verbal and written communication skills.
• Strong organizational skills and attention to detail.
• Ability to manage multiple priorities and adapt to changing circumstances.
• Professional, dependable, and collaborative approach.
