Secretary/Receptionist

Duties

• Greet visitors warmly and professionally, managing front desk operations with enthusiasm and courtesy
• Answer multi-line phone systems promptly, practicing excellent phone etiquette and providing exceptional customer support
• Manage appointment scheduling and calendar coordination using Google Workspace or Microsoft Office tools
• Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications
• Support office management tasks such as organizing files, handling correspondence, and assisting with bookkeeping using QuickBooks or similar software
• Assist with client communication, follow-up calls, and ensuring timely responses to inquiries
• Maintain office supplies inventory and coordinate office equipment maintenance to keep the workspace efficient and welcoming

Experience

• Previous clerical or administrative experience in an office environment is essential
• Proven office management skills including calendar management, filing systems, and data entry
• Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and familiarity with multi-line phone systems
• Excellent organizational skills coupled with the ability to multitask effectively in a fast-paced setting
• Customer service experience demonstrating professionalism, patience, and clear communication
• Personal assistant or front desk experience preferred, with a focus on phone reception and client interaction
• Bilingual capabilities are highly desirable to support diverse client needs
