Ogden Sullivan Stover & Saar, a Tampa-based civil litigation law firm, is seeking an experienced, detail-oriented Office Manager to oversee the day-to-day operations of our office. The office manager will report to the managing shareholders. This is a highly varied role for someone who thrives on organization, enjoys working with people, and can juggle HR, operations, and office culture all in one day.

Primary Responsibilities

• Recruiting and hiring to include posting open positions, reviewing incoming resumes, conducting initial screening calls, coordinating interviews, preparing job offers, and managing the onboarding process for new hires.
• Management of all human resources issues for legal staff including performance reviews and evaluations, employee separation, and exit interviews.
• Maintain and update employee handbooks and office policies.
• Coordinate employee benefits enrollment and renewals (health, dental, vision, disability, 401k).
• Oversee office technology setup and issues (computers, phone system, software, and case management).
• Coordinate and track new hire and ongoing staff training and performance improvement plans.
• Prepare agendas and materials for weekly leadership meetings and monthly attorney meetings.
• Manage relationships with technology, insurance, and equipment vendors
• Handle any IT-related office issues with software programs, applications, or equipment.
• Order and maintain office supplies and equipment.
• Maintain and update the firm website and social media platforms.
• Plan and coordinate firm events, celebrations, birthdays, employee milestones, and monthly attorney meetings.
• 3+ years of experience with law firm human resources and office administration
• Bachelor’s degree in human resources or the equivalent is required
• Highly detail oriented
• Strong organization skills and the ability to manage multiple priorities at once
• Strong leadership and management skills
• Exceptional written, verbal, and interpersonal communication skills
• A proactive, solutions-oriented mindset and a genuine interest in supporting a positive workplace culture
• Proficiency with Outlook, Microsoft Word, Excel, and Aderant Total Office (ATO) f/k/a Client Profiles preferred
