Executive Personal Assistant

Job Overview

We are seeking a dynamic, highly organized, and resourceful Executive Personal Assistant to provide comprehensive support to the Owner of a luxury residential design and development company. This role is integral in ensuring the seamless flow of daily operations across business, design, and project management activities.

The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, ever-evolving environment. You’ll be directly involved in managing complex schedules, coordinating high-level meetings, attending site visits, and assisting with ongoing projects.

This position requires someone who can think several steps ahead, problem-solve independently, and adapt quickly while maintaining a polished and professional demeanor.

Key Responsibilities

• Manage and prioritize the owner’s calendar, communications, and travel logistics
• Coordinate meetings, project schedules, and on-site visits across multiple job sites
• Act as a liaison between the owner, clients, partners, and vendors
• Support project management, documentation, and follow-ups to ensure timely execution
• Handle confidential correspondence and administrative tasks with discretion
• Anticipate needs and provide proactive solutions to enhance efficiency and productivity

Qualifications

• Bachelor’s degree or equivalent experience preferred
• 3+ years of experience supporting executives, ideally in real estate, design, or construction
• Exceptional organizational, multitasking, and communication skills
• Ability to adapt quickly and remain composed under pressure
• Tech-savvy and proficient with productivity tools (Google Workspace, Microsoft Office, etc.)
• Must have a valid driver’s license and be comfortable working both in-office and on the road

Job Type: Full-time

Pay: $64,000.00 - $84,000.00 per year
