Accounting Assistant (AP/AR & Accounting Operations)

Job Summary

We are seeking a detail-oriented and reliable Accounting Assistant to support our daily accounting operations in a manufacturing and technology environment. This role will focus on Accounts Payable, Accounts Receivable, invoice processing, purchase order matching, documentation, ERP data entry, reconciliations, and other accounting support tasks.

This is a hands-on onsite role based in San Jose, CA. The ideal candidate should have a basic understanding of accounting operations, be comfortable working with invoices, purchase orders, payments, expenses, and reconciliations, and be willing to learn accounting processes in a fast-paced business environment.

This role is ideal for an entry-level accounting professional, recent graduate, or candidate with early AP/AR experience who wants to build practical accounting experience and grow into a Junior Accountant or Staff Accountant role over time.

Key Responsibilities

• Process vendor invoices in the ERP/accounting system
• Match vendor invoices against purchase orders, receiving records, and supporting documentation
• Assist with Accounts Payable activities, including invoice entry, vendor records, AP aging review, and payment preparation support
• Assist with Accounts Receivable activities, including customer invoicing, payment tracking, and customer account support
• Follow up on missing purchase orders, receiving records, invoices, or payment documentation
• Help identify and resolve invoice discrepancies, partial shipments, freight charges, and vendor statement differences
• Maintain accurate vendor, customer, invoice, PO, receiving, and payment records
• Upload, organize, and maintain accounting support documents in the ERP/accounting system
• Assist with employee expense report review and company credit card reconciliations
• Support basic bank, vendor, customer, and account reconciliations
• Assist with month-end close support, including accrual schedules, supporting schedules, and documentation review
• Help maintain accounting files, records, and internal tracking reports
• Support process improvement and documentation of accounting procedures
• Perform other accounting, finance, and administrative tasks as assigned

Qualifications

• Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field
• 0–2 years of accounting, bookkeeping, AP/AR, or office experience
• Basic understanding of accounting operations, including invoices, payments, expenses, and reconciliations
• Strong attention to detail and accuracy
• Strong organizational and follow-up skills
• Comfortable handling transaction-heavy and deadline-driven work
• Proficiency with Microsoft Excel or Google Sheets
• Comfortable learning ERP/accounting systems
• Ability to work onsite in San Jose, CA
• Good written and verbal communication skills
• Reliable, responsible, and able to meet deadlines

Preferred Qualifications

• Internship or work experience in accounting, finance, AP/AR, bookkeeping, or office administration
• Experience with purchase orders, vendor invoices, receiving records, customer invoices, or payment documentation
• Exposure to ERP systems, QuickBooks, NetSuite, or similar accounting software
• Experience with Excel functions such as filters, lookup formulas, pivot tables, or reconciliation schedules
• Experience or interest in manufacturing, hardware, electronics, or technology companies
