Executive Assistant to the CEO

We are seeking a dynamic and highly organized Executive Assistant to support our CEO, ensuring smooth daily operations and facilitating seamless communication across all levels of the organization. Responsibilities

• Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and business travel arrangements using Microsoft Outlook Calendar and other productivity software
• Coordinate internal communication between departments and external partners to ensure timely information flow
• Organize and plan events, meetings, and conferences from start to finish, including logistics, catering, and technical setup using video conferencing software such as Zoom or Microsoft Teams
• Prepare, proofread, and transcribe documents, reports, presentations, and correspondence with excellent writing skills
• Handle bookkeeping tasks using QuickBooks and assist with data entry, filing, and clerical responsibilities to keep office operations running smoothly
• Support project coordination efforts by tracking deadlines, preparing agendas, taking minutes, and following up on action items
• Facilitate office management duties such as managing multi-line phone systems, maintaining filing systems, managing office supplies, and overseeing office equipment maintenance
• Assist with business travel arrangements including booking flights, hotels, transportation, and preparing itineraries while ensuring compliance with company policies
• Maintain confidentiality when handling sensitive information related to company strategy or personnel matters

Experience

• Proven experience as an executive assistant or personal assistant supporting C-suite executives in a fast-paced environment
• Strong organizational skills with the ability to prioritize tasks effectively while managing multiple projects simultaneously
• Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), productivity software, and video conferencing tools
• Experience with bookkeeping software such as QuickBooks along with basic bookkeeping skills including invoicing and expense tracking
• Excellent typing speed combined with strong proofreading and transcription abilities
• Skilled in event planning from logistics coordination to execution of large or small-scale meetings or corporate events
• Exceptional communication skills with professional phone etiquette for internal and external interactions
• Ability to handle confidential information discreetly while maintaining high levels of professionalism
• Familiarity with project management tools and techniques for effective collaboration across teams
