Accounts Receivable Assistant

Job Summary

Michael Godard Fine Arts Associates is seeking a versatile Accounts Receivable Assistant. This dual-focus role manages the complete billing and payment cycle while assisting the physical, logistical, and legal care of our fine art collection.

Key Responsibilities

Accounts Receivable & Billing

• Invoicing & Payments: Generate accurate customer invoices. Process and apply payments from checks, credit cards, and electronic transfers.
• Collections & Reconciliation: Monitor aging accounts, politely follow up on overdue balances, and reconcile the AR ledger.
• Discrepancies: Handle billing shortfalls, chargebacks, and refund requests. Assist with month-end and year-end closing.
• Reporting: Prepare and analyze daily, weekly, and monthly AR reports for management.

Art Registration & Logistics

• Database Management: Maintain and update the comprehensive collection database (Odoo), documenting changes in art condition, location, provenance, materials, and histories.
• Logistics Coordination: Coordinate art movements, packing, crating, and shipping for exhibitions, loans, and acquisitions. Assist with international transport and customs procedures.
• Inventory Control: Conduct regular physical inventories to ensure objects are correctly located and records match.

Administration & Studio Support

• Customer Service: Promptly resolve client billing and account inquiries.
• Creative Support: Assist the Art department with research, production, and asset requests.
• General Clerical: Handle data entry, filing, archive maintenance, and general administrative duties.

Qualifications

• Experience in accounts receivable, general bookkeeping, and customer service.
• Direct experience or strong knowledge in art handling, project management, or gallery logistics.
• Technical proficiency with database management systems (Odoo experience is a plus) and Microsoft Excel.
• Exceptional communication and organizational skills with a meticulous attention to detail.

Schedule

• 8am-5pm Monday-Friday
• This is a 100% on-site, in-person job
• Must be able to reliably commute each day to this location
