HR Coordinator
Position Summary
The HR Coordinator provides administrative and operational support for all human resources, recruiting, training, safety, benefits, and compliance activities at Eagle Promotions. This position serves as a key resource for employees and management by assisting with recruiting, onboarding, personnel administration, payroll support, employee communications, compliance reporting, training coordination, and recordkeeping.
The HR Coordinator works closely with the Human Resources Manager to ensure compliance with federal, state, and local employment laws, customer compliance requirements, company policies, and internal procedures. This position is ideal for a highly organized, detail-oriented professional who enjoys working in a fast-paced manufacturing environment and supporting a diverse workforce.
Pay: $18/hr.
Schedule: Monday - Friday, 8:00 am - 4:30 pm
Essential Duties and Responsibilities
Recruiting & Staffing
- Assist with recruiting efforts for production, finishing, warehouse, office, retail, and remote positions.
- Post and maintain job advertisements on various recruiting platforms.
- Review applications and resumes.
- Schedule interviews and candidate assessments.
- Conduct reference and background check processes.
- Communicate with applicants throughout the hiring process.
- Support employee referral program administration and tracking.
- Assist with new hire paperwork and onboarding activities.
Employee Onboarding & Personnel Administration
- Conduct new hire orientations and onboarding sessions.
- Prepare employment documents, offer letters, and onboarding packets.
- Maintain employee personnel files and electronic records.
- Process employee status changes, transfers, promotions, wage changes, and terminations.
- Ensure compliance with document retention requirements.
- Assist employees with HR-related questions and requests.
- Coordinate exit interviews and offboarding activities.
Payroll, Benefits & Leave Administration Support
- Assist with payroll preparation and auditing.
- Review timekeeping records and PTO balances.
- Assist employees with benefits enrollment and changes.
- Support administration of medical, dental, vision, life insurance, and retirement plans.
- Assist with leave administration, including FMLA, ADA accommodations, workers' compensation, and other protected leave programs.
- Maintain benefit and leave records.
Compliance & Recordkeeping
- Maintain HR compliance records and reports.
- Assist with OSHA, safety, labor law, and employment compliance initiatives.
- Support customer compliance programs.
- Maintain training records, acknowledgments, certifications, and audit documentation.
- Assist with employee handbook updates and policy acknowledgments.
- Support annual reporting requirements and compliance audits.
Training & Employee Development
- Coordinate employee training programs and maintain training matrices.
- Schedule and track required safety, compliance, cybersecurity, and workplace training.
- Assist with training materials, presentations, sign-in sheets, and training records.
- Track completion and provide reporting to management.
Employee Relations
- Assist with employee communications and engagement initiatives.
- Support employee recognition programs and company events.
- Help address routine employee questions and concerns.
- Escalate employee relations matters to the Human Resources Manager as appropriate.
- Maintain confidentiality regarding employee and company information.
Safety Support
- Assist with safety training administration and recordkeeping.
- Maintain OSHA-related records and documentation.
- Coordinate training acknowledgments and compliance tracking.
- Support workplace safety initiatives and employee wellness programs.
Administrative Support
- Prepare reports, spreadsheets, presentations, and correspondence.
- Maintain department calendars and schedules.
- Order office and HR-related supplies.
- Support special HR projects and company initiatives.
- Perform other duties as assigned.
Qualifications
Required
- Bilingual English/Spanish (verbal and written).
- Minimum 2 years of Human Resources, Recruiting, Administrative, Payroll, or related experience.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality.
- Intermediate proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Ability to prioritize multiple projects in a fast-paced environment.
Preferred
- Human Resources experience in manufacturing, distribution, or production environments.
- Experience with HRIS, payroll, or timekeeping systems.
- Experience with employee onboarding and benefits administration.
- Knowledge of OSHA, labor law, and employment compliance requirements.
- Experience supporting audits, certifications, or compliance programs.
Physical Requirements
- Ability to sit, stand, walk, and move throughout office, warehouse, production, and finishing areas.
- Ability to occasionally lift up to 25 pounds.
- Ability to work in a manufacturing environment with varying temperatures and noise levels.
