Job Description

As an Office Administrator and Executive Assistant at Dispenza, you will play a major role in supporting the team in staying comfortable and focused while coming to work. You will need to be extremely organized, have high attention to detail and get excited about making a seamless and optimized experience for your colleagues.

We believe in results and not in time physically spent in the office outside of the core “administrative hours” of 8AM-1PM. That said, we are very open to candidates that have obligations in the afternoon and need to continue additional administrative tasks later into the evening as long as the candidate can perform the requirements of the role seamlessly.

Job Responsibilities

• Reports directly to the CTO, COO, and CEO.OFFICE MANAGEMENTOversee and support all administrative duties in the office and ensure that the office is operating smoothly.
• Track inventory of office supplies, snacks, and drinks, and reorder when necessary.
• Receive and sort incoming mail and deliveries, and manage outgoing mail.
• Schedule and monitor building maintenance requests to the unit landlord and service providers (HVAC, Power, Handyman, Internet, Water, Trash).
• Identify opportunities to enhance the office with current processes in place, and organization.
• Organizing and filing office, client, and employee documents.TEAM MANAGEMENTCreating and managing holiday and work schedules.
• Assist in managing travel arrangements for team members and executives.
• Supporting the executive team with additional requests/errands.

Required Skills and Experience

• 3+ years experience related to business operations, office management, project coordination, or similar commercial functions.
• Bachelor's degree (or relevant work experience)
• Exceptional attention to detail with great attention to accuracy
• Strong organizational and time management skills / methodology, and ability to prioritize
• Comfortable working digitally for most tasks involving documentation, filing, administrative, etc..Self-motivated and able to work independently as well as part of larger interdisciplinary teams
• Ability to work well under pressure and meet tight deadlines
• Excellent communication and interpersonal skills
• Not afraid to wear multiple hats
• Desired Skills and Experience80+ words per minute typing speed
• Highly experienced with GSuite (Calendar, Email, Docs, Sheets, Slides)
• Experience with Click
• Up and/or Similar Project Management Platforms
• Experience with Slack or Similar Team Communication Platforms
• Compensation
• Compensation is $25 an hour
• Schedule:5-hour shifts, 8AM-1PM, Monday to Friday
