POSITION OVERVIEW

The Executive Administrative Assistant provides imperative administrative and operational support in a variety of functions for an individual or the team. The preceding job responsibilities and tasks were designed to indicate the general nature and level of work performed in this job.

KEY RESPONSIBILITIES

• In-Person Front line contact for current and potential clients and professionals
• Answer phone and direct to appropriate person depending on need.
• Assist with keeping client information and data current in systems.
• Document management

o Preparing and organizing client folders

o Maintaining electronic records

• Coalition of Estate Planning Binders
• Prepare informational folders for clients & marketing.
• Support attorneys, paralegals and staff as needed
• Scan documents and verify scanned documents are clear and legible
• Initiate and finalize closing of client files
• Follow-up and manage referrals to Lifescape’s Referral Partners
• Input attorney billing into CRM system
• Assistant to Director of Operations.

o Work closely in maintaining billing, accuracy and consistency.

o All billing must be scanned and documented in system.

• Prepare final billing invoices
• Input payments into CRM system accurately and on time and ensure payments go to correct account.
• Prepare outgoing letters for clients, recorder of deeds, court, etc.
• Organize and archive records and documents.
• Secure and protect the privacy of documents- client confidentiality.
• Type and perform data entry.
• Improve processes with new system.

EXPERIENCE

Minimum

• High school diploma or equivalent
• Proficiency in Microsoft Office
• Experience work with a CRM

Preferred

• Experience with using a CRM
• Associate’s degree +
• 5+ years of administrative experience
• Experience with billing systems and QuickBooks

• Annual Base Salary: $41,000-$48,500
