PROJECT COORDINATOR, OTTAWA WILLS PROJECT

Independent Contractor, Hybrid: Primarily remote work with regular in-person meeting requirements

Start Date: September 1, 2026 or to be negotiated

End Date: December 2027 (with the possibility of extension)

Rate of Pay: $45-50/hr + HST, dependent upon education/experience (25 hours/week)

Connecting Ottawa’s mandate is to assist Ottawa residents who speak neither English nor French or who have difficulty communicating due to sensory impairments, speech, or language disorders.

We fulfill our mandate by working closely with frontline community workers to develop their capacity to provide appropriate legal support, legal information, and legal referrals to clients within these target populations.

Ottawa Wills Project: The Ottawa Wills Project is a Connecting Ottawa project that provides free wills and powers of attorney documents to low-income vulnerable individuals in Ottawa by way of “clinics” offered three times per year.

Through this collaborative community project, eligible clients, referred by local social service workers/agencies, are connected with a legal team consisting of a pro-bono lawyer and a law student, who work together to draft and complete the clients’ final, executed estate documents. Social service workers play a vital role in liaising with the project and supporting their clients.

The service is offered in English and French.

Ottawa Wills Project Coordination Duties

Project Oversight: Act as Secretariat to the Advisory Group and participate in long-term project planning and growth (with Connecting Ottawa Project Manager)
Stakeholder Liaison: Serve as the main point of contact for all project stakeholders
Financial Management: Oversee the project budget (with Connecting Ottawa Project Manager) and prepare future funding applications.
Reporting & Records: Manage all project files, archives, and bi-annual reports for the organization and funders.
Knowledge Sharing: Present project learnings internally and with stakeholders

Other duties: As required.

Ottawa Wills Project Clinic Duties

Student Supervision: Recruit, train, schedule, and evaluate law student interns for each clinic.
Lawyer Engagement: Recruit and coordinate pro-bono lawyers, manage law student-lawyer pairings, facilitate and support meetings.
Client & File Management: Oversee client files from intake to close, including conflict checks and document signing.
Meeting Coordination: Schedule all meetings between clients, frontline workers, lawyers, and students.
Community Outreach: Actively promote the project to the Ottawa social service sector, engage with community and stakeholders, share project information, encourage project growth, coordinate incoming client referrals.
Administrative Support: Coordinate and oversee completion of clinic documentation, track project statistics.
Other duties: As required.

QUALIFICATIONS & SKILLS

Education/Experience: Lawyer licensed with the Law Society of Ontario, Bachelor’s degree, or an equivalent combination of relevant education and professional experience.
Project management/Financial management: Experience in project coordination/management and proven ability to track project expenses, manage resources, and deliver projects on time and within allotted budget
Communication: Exceptional written and verbal communication skills; French fluency is a strong asset.
Organization: Strong organizational skills, time-management, problem-solving, with sharp attention to detail.
Client Support: Trauma-informed experience working with vulnerable clients who have legal needs, including facilitating the provision of legal support, information and resources
Public Presentations/Education: Proven ability to create and facilitate educational workshops and materials.
Community Knowledge: Strong understanding of Ottawa-area community resources and access-to-justice services for vulnerable populations.
Autonomy & Ethics: High ethical standards with the ability to work and make decisions independently.
Relationship Building: Excellent interpersonal skills to collaborate with team members, frontline workers, volunteers, and external stakeholders.
Technical Proficiency: MS Office, Google Suite, etc.
Location: As the project deeply connects with local partners and requires regular in-person meetings, the role requires the successful applicant to live in Ottawa, ON.

Special consideration will be given to candidates with

Demonstrated interest in project growth and development and access to justice initiatives.
Proficiency in a language other than English.
