Assistant Front Office Manager

About the position

We are a multidisciplinary health clinic committed to providing exceptional patient care in a welcoming and professional environment.

We are seeking a friendly, organized, and detail-oriented Office Manager to join our team. Key Responsibilities:

The successful candidate will be responsible for ensuring smooth clinic operations through:

• Booking and re-scheduling patients, as well as gathering information on new patients
• Taking payments from patients after appointments and accurately putting the payment into Jane Software
• Answering phone calls and emails about patient inquiries
• Submitting e-claim insurance through TELUS Health, Provider Connect, and BlueCross and sending insurance claim confirmation to patients
• Ensuring clinic inventory is stocked, and ordering new products when needed- Making payments on time for monthly clinic bills (i.e. Internet)
• Maintain confidential patient/staff folders and documents
• Preparing daily patient files prior to appointments

Qualifications & Skills

• Diploma or Degree in a Health, Science, or Business related field preferred but not required
• Experience working in a clinic is considered an asset
• Bilingual (English/French) is considered an asset
• Experience with Jane Software is considered an asset- Experience with insurance claims is considered an asset
• Working knowledge of Microsoft Office
• Great communication and interpersonal skills
• Detail-oriented and organized

Job-Specific Notes

• Full-time or Part- time( up to 35 hours/week)

Monday to Friday on-site at the clinic
