Your Team

Join Flair’s Payroll team, where accurate payroll and benefits administration support employees across the organization. Reporting to the Manager, Payroll, the Payroll & Benefits Administrator is responsible for the accurate and timely administration of payroll and benefits for multiple employee groups.

This role ensures payroll transactions, benefits administration, and employee records are processed in accordance with company policies, collective agreements, applicable legislation, and regulatory requirements.

Working closely with Human Resources, Finance, leaders, external benefit providers, and employees, the Payroll & Benefits Administrator responds to payroll and benefits inquiries, resolves issues, maintains payroll data, and supports payroll processing, reporting, and continuous improvement initiatives to ensure the effective delivery of payroll and benefits services.

A Day in the Life

• Process accurate and timely semi-monthly payroll for salaried, hourly, and unionized employees using ADP Workforce Now or a comparable payroll system.
• Review, validate, and process payroll transactions, including new hires, terminations, salary adjustments, employee status changes, earnings, deductions, and other payroll-related updates.
• Support the administration of employee benefit and retirement programs, including the preparation and remittance of pension and Registered Retirement Savings Plan (RRSP) contributions.
• Serve as the primary point of contact for employee and leader inquiries related to payroll, benefits, deductions, and pay administration, providing accurate and timely resolution or escalating issues as appropriate.
• Assist the Manager, Payroll, with payroll processing, reconciliations, reporting, and month-end and year-end payroll activities to ensure compliance with legislative and organizational requirements.
• Prepare and issue Records of Employment (ROEs) in accordance with legislative requirements and established service standards.
• Support the preparation, submission, and reconciliation of statutory remittances and reporting requirements, including Workers' Compensation Boards, CNESST, and other government agencies as applicable.
• Maintain the integrity and accuracy of payroll and employee data within the Human Resources Information System (HRIS) and payroll system by validating employee information and resolving discrepancies.
• Prepare payroll reports, reconciliations, and supporting documentation to assist with internal reporting, audits, and compliance activities.
• Ensure payroll and benefits administration complies with applicable employment standards, payroll legislation, collective agreements, company policies, and regulatory requirements.
• Build collaborative relationships with Human Resources, Finance, leaders, benefit providers, government agencies, and other external stakeholders to support the effective delivery of payroll and benefits services.
• Remain current on payroll legislation, taxation, benefit administration, and industry best practices, recommending process improvements where appropriate.
• Maintain the confidentiality, security, and integrity of employee payroll and personal information in accordance with privacy legislation and company policies.
• Participate in payroll process improvements, system enhancements, testing activities, and special projects as assigned.
• Perform other duties and special projects as assigned.

• Education:
• Post-secondary education in Accounting, Business Administration, Finance, Human Resources, or a related field is considered an asset.
• Payroll Compliance Practitioner (PCP) designation from the National Payroll Institute, or progress toward certification, is considered an asset.
• Experience:
• Minimum of 3 years of payroll administration experience, preferably processing payroll for multiple employee groups.
• Experience processing payroll using ADP Workforce Now or a comparable payroll system.
• Experience administering payroll within a federally regulated environment governed by the Canada Labour Code (CLC) is considered an asset.
• Experience supporting payroll in a unionized environment is considered an asset.
• Experience processing Quebec payroll and working with CNESST requirements is considered an asset.
• Experience administering employee benefits, pension plans, and statutory remittances is considered an asset.
• Proficiency with Microsoft Office applications, including advanced Microsoft Excel, Word, and Outlook.
• Experience within the aviation industry is considered an asset.
• Skills & Abilities:
• Fluency in both English and French (written and spoken) is preferred.
• Working knowledge of Canadian payroll legislation, employment standards, statutory deductions, and payroll compliance requirements.
• Strong analytical, organizational, and problem-solving skills with exceptional attention to detail and accuracy.
• Excellent verbal, written, and interpersonal communication skills with a strong customer service focus.
• Ability to manage multiple priorities, meet established deadlines, and maintain accuracy in a fast-paced environment.
• Demonstrated ability to work independently while contributing effectively as part of a collaborative team.
• Ability to exercise sound judgment, maintain strict confidentiality, and handle sensitive employee information with discretion.
• Strong time management and organizational skills with the ability to identify issues, resolve problems independently, and recommend practical solutions.
• Requirements:
• Clear criminal record check and satisfactory employment references.
• Must be legally eligible to work in Canada without restriction.
