Facilities and Maintenance Administrator

Introduction

My client a Retail Business in Cape Town has an exciting new vacancy for a Facilities and Maintenance Administrator.

Purpose of the Role: to coordinate and oversee the day-to-day facilities operations, ensuring a safe, compliant, efficient, and well-maintained working environment while supporting business continuity and operational excellence.

Duties & Responsibilities

Key Responsibilities

• Coordinate and schedule the daily operations of multiple office and business facilities, including cleaners, maintenance team and stationery team and fleet management
• Manage planned and reactive maintenance in the facility or stores to ensure minimal operational disruption.
• Liaise with landlords, tenants, contractors, suppliers, and service providers.
• Coordinate security-related matters, including incident reporting, CCTV and access control.
• Monitor building health, safety, and environmental compliance.
• Conduct routine site inspections and identify maintenance requirements.
• Coordinate office relocations, renovations, and workspace planning.
• Manage facilities-related budgets and monitor expenditure.
• Process purchase orders, quotations, invoices, and service agreements.
• Maintain accurate facilities documentation and asset registers.
• Ensure service level agreements (SLAs) are met by external vendors.
• Investigate facilities-related incidents and coordinate corrective actions.
• Support business continuity and emergency preparedness initiatives.
• Manage office space utilisation and occupancy requirements.
• Assist with project coordination and implementation.
• Monitor utilities and identify cost-saving opportunities.
• Provide administrative support relating to facilities management.
• Build and maintain professional relationships with internal and external stakeholders.
• Respond promptly to facilities emergencies and operational issues.
• Ensure company standards, policies, and legislative requirements are adhered to.

Desired Experience & Qualification

Preferred Requirements

Education: Matric (Grade 12) minimum; a diploma, certificate or experience in facilities management, technical trades, or occupational health & safety is preferred.

Experience: 2–5 years in facilities coordination, building maintenance, or administration; prior exposure to vendor management and compliance inspections.

Technical Skills

MS Office, knowledge of building systems (electrical, plumbing,), and basic OHS regulations.

Soft Skills: Administration skills, managing multiple teams, multitasking, communication, negotiation, problem-solving, and budget management.
