Duties

• Greet visitors, clients, and vendors with a warm, professional demeanor, ensuring they feel welcomed and valued.
• Manage multi-line phone systems efficiently, directing calls accurately and providing prompt assistance or information.
• Handle data entry tasks with precision using productivity software such as Microsoft Office, spreadsheets, and Google Workspace.
• Maintain organized filing systems, both digital and physical, to ensure quick access to important documents.
• Assist with calendar management and appointment scheduling to support office efficiency.
• Support office management activities including inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar tools.
• Provide excellent customer support by addressing inquiries promptly and professionally while maintaining high standards of phone etiquette.

Qualifications

• Proven experience in office administration or front desk roles, preferably in medical or dental reception settings.
• Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry skills.
• Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
• Exceptional customer service skills combined with professional phone communication and phone etiquette.
• Bilingual abilities are highly desirable to serve diverse client needs effectively.
• Familiarity with multi-line phone systems, clerical tasks, filing procedures, and office management practices.
• Prior experience with bookkeeping software such as QuickBooks is a plus.
