We are seeking a highly professional and organised individual to fulfil the role of Receptionist / Business Services Coordinator at our Aberdeen office. This position is integral to the efficient operation of the office, encompassing reception management, meeting room coordination, and general administrative support.
Principal Responsibilities
Reception Management
Serve as the primary point of contact for all incoming calls and external visitors.
Ensure professional and courteous handling of all reception duties, including safety briefings and visitor information.
Coordinate meeting room arrangements, including audiovisual equipment and catering provisions.
Maintain cleanliness and organisation of communal areas including meeting rooms, kitchen, and post room.
Manage incoming and outgoing mail, courier services, and taxi bookings.
Collaborate with Business Services Coordinators across offices to ensure prompt response to general enquiries.
Provide support for early morning and evening meetings and events as required.
Administrative Support
Assist with travel arrangements, meeting scheduling, database updates, and holiday cover.
Maintain and update the company's CRM system.
Monitor and manage stock levels for office supplies and consumables.
Act as Health & Safety Officer, First Aider, and Fire Warden, ensuring compliance with health and safety policies.
Support onboarding processes for new staff and contribute to special projects in collaboration with the Business Services and HR Managers.
Manage allocated budgets and maintain accurate expense records.
Liaise with contractors to resolve office-related issues efficiently.
Provide administrative assistance to internal teams and directors as required.
Essential Skills and Experience
Demonstrable experience in administrative, customer-facing, or reception roles, including meeting and catering coordination.
Friendly and approachable demeanour
Professional telephone manner.
Strong verbal and written communication.
Effective negotiation skills with individuals at various levels.
Ability to handle pressure and meet tight deadlines.
Skilled at managing conflicting demands while maintaining accuracy and attention to detail.
Proficiency in Microsoft Office and general office systems, including CRM software.
Proactive and flexible team player.
Capable of working independently and managing own workload.
Results-driven with experience in driving continuous improvement
Willingness to act as Health & Safety Officer, First Aider, and Fire Warden
